The Operations Specialist serves as a critical support resource across all departments of the organization, providing comprehensive operational assistance to ensure smooth and efficient daily operations. This versatile role encompasses information technology support, facilities management, committee coordination, database management, and various administrative functions that enable all departments to achieve their strategic objectives. The Operations Specialist acts as a bridge between departments, streamlining processes and implementing solutions that enhance organizational productivity and effectiveness.
Essential Duties and Responsibilities Cross-Departmental Support- Provide administrative and operational support to all departments as needed
- Assist with special projects and initiatives across the organization
- Monitor operational processes and recommend improvements for efficiency
- Handle general administrative tasks, including correspondence, filing, and documentation
- Assist in logistics for event and program planning as assigned
- Other cross functional tasks as assigned
- Coordinate committee meetings, including scheduling, agenda preparation, and logistics
- Prepare meeting materials, presentations, and documentation as needed
- Take meeting minutes and distribute follow-up communications
- Manage committee member communications and correspondence
- Track committee action items and ensure timely completion
- Support special events and organizational functions as assigned
- Process and input mail / payments / accounts receivable into assigned systems
- Assist in accounts receivable communication as assigned
- Support other functions as assigned
- Assist in updating organizational databases and membership management systems with emphasis on financial system reconciliation
- Ensure data accuracy, integrity, and security across all systems
- Create and maintain electronic filing systems and document management procedures
- Support data collection efforts for various organizational initiatives
- Implement process improvements for data management efficiency
- Assist in technical support and troubleshooting for hardware, software, and network systems across all departments
- Maintain and update computer systems, printers, and other technology equipment
- Coordinate with IT vendors and service providers for system maintenance and repairs
- Assist with software installations, updates, and user training
- Monitor system performance and recommend improvements or upgrades
- Ensure data backup procedures are followed and security protocols are maintained
- Oversee building maintenance and general facility operations
- Coordinate with vendors and contractors for facility services and improvements
- Monitor inventory of office supplies, equipment, and facility resources
- Manage space allocation and workplace scheduling needs
- Handle routine maintenance requests regarding facility issues
