Job Responsibilities- Provide administrative and clerical support to the Human Resources Manager.
- Handle all HR related administrative tasks, maintaining up-to-date employee records.
- Provide general support to the Gregory Construction team.
- Manage office administrative duties including answering phones, making appointments, and maintaining files to ensure effective preparation of materials.
- Oversee onboarding of new associates, scheduling them, coordinating housing accommodations if needed, and processing onboarding paperwork.
- Conduct pre‑employment screening (drug test, background) and track new employees attending orientation using the tracking spreadsheet.
- Maintain employee records and files, ensuring accuracy and compliance with company policies.
- Perform periodic audits of HR files and records to ensure all required documents are collected and filed appropriately.
- Collect and maintain employment applications, resumes, and other documents.
- Assist the Human Resources Manager with reporting and special HR projects.
- Update and maintain candidate information in the organization’s Applicant Tracking System.
- Create and distribute employee change announcements (promotions, transfers, etc.) throughout the company via various communication channels.
- Assist with other tasks as needed.

- High school diploma or equivalent required;
Associate’s Degree preferred. - Minimum of 2 years of prior Human Resources experience in a secretarial or administrative capacity preferred.
- Expert level in using MS Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Experience using Applicant Tracking software (Jazz HR preferred).
- Proficiency in written and spoken English.
- Strong communication skills in oral and written communications.
- Demonstrated strong interpersonal sound judgment and decision‑making skills in directing administrative tasks, using discretion when necessary.
- Ability to work under high‑pressure situations and maintain confidentiality.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion – often with deadline pressures.
