Information Associate

DEPARTMENT

College of Dentistry – Office of Clinic Administration

RESPONSIBILITIES
  • Serve as the first point of contact for patients, staff, faculty, students, and visitors to the Office of Clinic Administration.
  • Maintain excellent customer service and take appropriate actions to meet customer requests and facilitate problem resolution across multiple clinics and administrative units.
  • Collaborate with the office manager to ensure a safe and clean reception area.
  • Assist and direct patients, students and visitors in person, via email and telephone; document and relay patient complaints or grievances; receive patient record requests.
  • Manage the office phone lines and ensure accurate and timely receipt of information.
  • Assess and relay sensitive or confidential information to office personnel and/or other departments of the college.
  • Conduct patient courtesy calls; review and process monthly invoices; facilitate Patient Account Adjustment Requests; order, stock and maintain office supplies; retrieve and distribute mail; review and maintain manuals and standard operating procedures; manage lost and found; filing and data entry; and other administrative duties as assigned.
WORK SCHEDULE

Regular office hours Monday–Friday, 7:30 AM–4:30 PM. May be required to work off‑hours and four weekends per year to cover student dental exams.

HIRING RANGE

$15.15 – $19.79 per hour.

PHYSICAL REQUIREMENTS

Candidate must be able to push and pull carts containing patient records or office supplies, bend, stretch or twist to pick up supplies, files, retrieve records or maintain office appearance, stand and walk for periods of time, and serve and assist customers.

EXPERIENCE AND EDUCATION

Required Qualifications
  • One year experience (1000 hours) in customer service or communications, including analyzing and interpreting information.
  • Six months experience (600 hours) in operation of computer and related peripheral equipment.
  • Three months experience (300 hours) in information research and analysis.
Desired Qualifications
  • A minimum of three years customer service experience with direct in‑person customer contact.
  • At least three years of experience using computers to generate a variety of materials ranging from basic to complex.
  • Considerable data entry experience with high proficiency using Microsoft Office (Windows 2010) in a business environment.
  • Ability to use basic office equipment: fax machine, copier/printer, laminator.
  • High level of verbal and written skills; ability to consistently contribute to and work within a fast‑paced team environment.
