Reports To: Senior Architect/Project Manager

Summary: Project Coordinator – responsible for providing general administrative support to the Project Team for a variety of projects.
Essential Functions- Provides general administrative support (correspondence processing, distribution, routine filing).
- Coordinates schedules for meetings and training.
- Conducts research and assists with statistical reports and information requests.
- Organizes, processes, distributes, files/logs, and tracks RFIs, change orders, and other construction documents.
- Assists in preparing written materials (applications, correspondence, reports, procedures, forms, guidelines) for better document control.
- Reviews, proofreads, and edits project-related documents.
- Prepares and documents meeting minutes.
- Assists in processing pay applications.
- Coordinates check requests.
- Enters project data into program management software.
- Communicates with project manager, construction administrator, and professional consultants.
- Familiar with construction/project close‑out processes.
- Experience with construction management programs and/or on construction job sites.
- Experience with architecture/engineering firm.
- Construction experience with OSHPD and/or DSA projects.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time‑management skills; proven ability to meet deadlines.
- Ability to function in a high‑paced, sometimes stressful environment.
- Extensive knowledge of administration, procedures, and project record‑keeping systems.
- Proficiency in Microsoft Office Suite (or similar software) and willingness to learn new project‑related software.
Education and Experience
- Preferred: 4‑year degree from an accredited college or university.
- Minimum: two years of administrative experience in a fast‑paced office setting.
- Professional open‑office environment with low‑to‑moderate noise levels and collaborative work areas.
- Construction sites may involve varying temperatures, wind, dust, noise, and hazardous/dirt conditions.
- Hand/Wrist/Finger dexterity for 8 h/day, 40 h/week.
- Ability to lift a set of construction documents.
- Ability to sit for long periods; occasional light lifting.
- Full‑time; minimum 40 h/week.
- Occasional travel.
- Sponsorship may be considered.
$57,500 – $76,000
