Role OverviewThe Service Manager is responsible for the customer-focused and efficient operation of the dealership's service department, operating at maximum production, controlling costs, building a loyal clientele, maintaining employee relationships, setting and obtaining sales objectives, and keeping comprehensive service records. The role ensures a customer experience that meets or exceeds the manufacturer’s customer satisfaction index, monitoring, and improving customer satisfaction through relationship building and effective asset management.

- Assist subordinate service and sales personnel in all phases of their job descriptions.
- Document employee behavior that may result in punitive actions.
- Report circumstances that compromise dealership integrity.
- Collaborate with the parts department to ensure proper stocking of high‑use parts.
- Collect accounts receivable for service work.
- Obtain competitive bids for tools, equipment, sublet repairs, supplies, etc.
- Ensure employees follow safety policies and report accidents.
- Maintain required technical publications, periodicals, and bulletins.
- Quality‑check completed jobs.
- Keep shop equipment in proper working condition.
- Handle customer inconveniences, complaints, and misunderstandings fairly and quickly.
- Use proper service sales techniques.
- Meet monthly with the fixed operations director and general manager to review performance and set objectives.
- Communicate proactively with customers and handle escalated issues.
- Maintain accurate records and ensure warranty parts retention per manufacturer and company policy.
- Maintain high workmanship standards and advise technicians on service CSI.
- Serve as liaison with factory representatives in absence of senior staff.
- Build customer relationships to encourage repeat referral business.
- Monitor staffing, compensation, and department turnover.
- Ensure proper repair order flow to meet warranty, dealership, and business office requirements.
- Maintain reporting systems required by management, company, and manufacturers.
- Establish relationships with vocational and technical schools to enhance recruitment.
- Direct and schedule department associate activities.
- Hire, train, motivate, counsel, and monitor performance of all service staff.
- Comply with federal, state, and local regulations affecting service and parts operations.
- Assist in developing an annual service budget tied to sales forecasts.
- Maintain customer satisfaction index above manufacturer or dealership averages.
- High school diploma or equivalent.
- Three to five years of experience in an auto repair facility.
- At least two years of supervisory experience.
- Excellent verbal and written communication and interpersonal skills.
- Proficient knowledge of dealership computer systems.
- Valid driver’s license.
- Ability to drive manual transmission vehicles.
- Demonstrated customer service skills.
- Previous industry knowledge of overall operations, management, and wholesale relations (preferred).
