BASIC FUNCTION:

To assist the Leasing Department in the leasing of commercial real estate owned by the company, properties under third party agreements and properties being acquired/developed by the company. Assist with development and asset management responsibilities as requested to facilitate execution of leasing department goals.

MAJOR

DUTIES AND RESPONSIBILITIES:

  • Assist with coordination and movement of lease documents and related materials between the leasing group and other departments within the organization to ensure timely execution of lease documents
  • Responsible for critical date management within Sales Force as it relates to management of lease timelines and commitments following document execution
  • Prepare presentations and materials for meetings with tenants and/or brokerage clients
  • Responsible for maintaining processes and procedures in getting lease deals into Sales Force
  • Maintain the leasing pipeline report, commission reporting, and other leasing reports as required, generally through Sales Force.
  • Screen calls from potential tenants and ensure all tenant applications are received
  • Responsible for departmental meeting minutes, market update presentations, and coordinating follow-up items discussed during meetings
  • Assist with marketing functions related to leasing, such as reviewing collaterals, signage and social media posts as well as ensuring accuracy of listings in the marketplace such as on Costar are updated.
  • Support commercial leasing agents by preparing letters of intent, renewal documentation, correspondence, marketing materials, assignment packages, financial applications, etc.
  • Assist with leasing and document follow up as necessary based on certain lease specifics (e.g., reviewing existing S/C exclusives and restrictions, reporting around shopping center ,development text, auditor and other related municipality zoning text, etc.)
  • Support various due diligence efforts related to real estate and leasing transactions
  • Develop, organize and coordinate materials for ICSC conferences, pitch packages and other sales materials. Assist with event planning for the conferences.
  • Responsible for commission invoicing and coordination using NEXUS, ACH coordination, and tracking work in coordination with accounting
  • Other special projects as assigned
SKILLS
  • Degree preferred
  • Professional and effective communication and language skills required – strong writing skills and attention to detail critically important
  • Strong knowledge of Word, Excel and Outlook required
  • Ability to work in a fast-paced environment
  • Knowledge and understanding of retail leasing and commercial real estate preferred
  • Must be highly organized and able to setup and administer processes and procedures
  • Must be self‑motivated and show a history of being a self‑starter
  • Must be able to operate well independently as well as in a team setting
  • Real estate sales license required (must be licensed within 6 months of employment)
