Patient Care Coordinator II role at Phoenix Physical Therapy
. The PCC II supports the clinic by helping to achieve revenue goals by attracting new patients, managing administrative and operational functions, and coordinating patient interactions and needs.
The PCC II will be responsible for managing daily, weekly and monthly operations as outlined in the PCC II Front Office Manual and adhering to policies and procedures, scheduling, accuracy of entering patient demographics, verification of insurance, collection of monies, charge entry and proper documentation of accounts. The PCC II should be flexible, adaptable to change and able to learn new skills.
Responsibilities- Learn and understand front office operations and perform these operations as presented in the PCC II manual, Scheduling/Billing/EMR manual or other manuals developed.
- Greet and register patients or visitors, inform staff of patients arrival, and direct patients to the appropriate department or examination room.
- Complete patient forms as applicable and explain details surrounding the paperwork.
- Gather and update patient information, including demographics, insurance and case information.
- Collect and input patient insurance information and verify active coverage or eligibility.
- Schedule appointments, document accounts as needed, and maintain continuity of care when scheduling patient appointments.
- Schedule and recapture appointments, reschedule in the current week as needed, and manage appointment durations.
- Collect all monies due prior to each visit (co-pays, deductibles, co-insurance, payments on statements, etc.) and document receipts in the system.
- Audit visits to ensure valid prescriptions, proper authorization/referral/precertification, and collect due monies.
- Answer and transfer phone calls, arrange referrals, and relay messages.
- Review daily reports and ensure timely prescriptions, authorizations/referrals/precertifications to avoid delays in patient care.
- Reconcile cash and checks daily and drop off deposits at the designated bank within an appropriate time frame.
- Verify benefits via phone, ask detailed questions, and set up accounts accurately.
- Ensure visits are properly authorized and minimize unauthorized visits.
- Ensure Medicare Plans of Care are signed and returned by the physician within 30 days of the Initial Evaluation.
- Use approved websites (e.g., insurance portals, NPI) only when relevant and approved by Phoenix Physical Therapy.
- May perform occasional clerical duties (data entry, filing, photocopying) and may require experience with medical records or EMR systems.
- May assist in the clinic with cleaning, disinfecting, and general cleanliness.
- Maintain a safe, secure, and healthy work environment by following standards and procedures and complying with legal regulations.
- Other duties as assigned.
Job Requirements Education / Training
- High School Diploma or GED required;
Associates Degree or college level business courses preferred. - 2 years of previous experience in medical billing practice and medical terminology (HCFA 1500, CPT and ICD-9 codes) preferred.
- Current CPR Certificate.
- Excellent customer service.
- Performs work under direct supervision. Handles basic issues and refers more complex issues to higher-level staff.
- Ability to communicate effectively and professionally with a wide variety of people.
- Strong organizational skills with attention to detail and accuracy.
- Proficient with Microsoft Word and strong data entry skills with EMR systems.
- Ability to handle multiple tasks in a busy environment.
- Consistent and regular use of phone.
- Must be able to keep numbers in correct order on a consistent basis.
- Regular use of keyboard and mouse.
- Ability to climb stairs on occasion.
- Occasionally lift up to 25 pounds.
- Majority of day (75%+) spent sitting at a desk.
