Brief Description

Reporting to the Director of Facilities, the Fleet Coordinator is responsible for overseeing the daily operation and maintenance the Guild’s fleet of vehicles. They ensure that all vehicles are properly maintained, and safe to drive. The Fleet Coordinator will provide ongoing training to drivers of Guild vehicles on safety protocols, best practices, and Guild policies regarding the use of agency vehicles.

  • Provide and update data related to all fleet service including maintenance, repairs, quality, and safety.
  • Follow up on Pre-and Post-inspections.
  • Record, schedule, and update asset information in reference to location, status, assignment, condition,
  • Ensure that safety concerns or issues are addressed immediately and within company policies.
  • Effectively communicate fleet repair schedules with internal and external customers, management, and vendors
  • Provide Management with information and reports related to costs and history of the fleet.
  • Maintain and update all related systems, including GPS and EFleets.
  • Assign and monitor gas cards and associated expenses.
  • Monitor accurate reporting on short and long terms leases and schedule timely returns.
  • Oversee maintenance and repairs, purchasing of supplies and schedule warranty upgrades as needed
  • Coordinate vehicle fleet during transition (Drop off & Pick Up)
  • Dispatch and record log of daily vehicle usage during school days
  • Process all Insurance claims.
  • Process all vehicle related invoices for accounts payable.
  • Use Vendor web sites, Toyota, Ford, and Hyundai for warranty and check vehicle specification etc.
  • Perform monthly Fuel Reconciliation for all assigned sites.
  • Assisting Administration with scheduling task for fleet drivers.
  • Take road call information when supervisor or manager are not available.

Requirements

  • Bachelor’s degree preferred;
    Associates degree required.
  • Proficiency in Microsoft Office Suite, and experience working in maintenance ticketing systems and fleet management systems.
  • Interest in and ability to relate positively with multiple-handicapped adolescents in a school setting.
