Our tight-knit team in Alpha Graphics - US723 is actively seeking an Admin Assistant/Secretary to join us full time.

Position Overview

We are seeking a skilled and detail-oriented individual to join our team as a Restaurant Administrative Assistant. The ideal candidate must be proficient in Quick Books, possess strong secretarial skills, and have experience in accounting.

Responsibilities
  • Manage all administrative tasks for the company, including filing, data entry, and correspondence.
  • Maintain accurate records of financial transactions using Quick Books.
  • Assist in payroll processing.
  • Handle accounts payable and accounts receivable processes.
  • Prepare and reconcile bank statements and financial reports.
  • Coordinate with suppliers and vendors for billing and invoicing.
  • Provide secretarial support to management, including scheduling meetings and managing calendars.
  • Assist in inventory management and ordering supplies as needed.
  • Ensure compliance with relevant regulatory requirements and internal policies.
Requirements
  • Experience updating Quick Books Online.
  • Proficiency in Microsoft Office suite.
  • Co‑ordination with vendors.
  • Primary internal representative of the organization.
  • Internal communication of expertise in products, services, and capabilities.
  • External key educator to community and customers.
  • Communicate customer requirements to support team in accordance with company policies.
  • Confer with customers by telephone or in-person to provide information, take or enter orders, cancel accounts, or obtain details of complaints.
  • Determine charges for services, collect deposits or payments, or arrange for billing.
  • Attract potential customers by answering product and service questions and suggesting information about other products and services.
  • Strong organizational and multitasking skills.
  • Attention to detail and accuracy in data entry and financial record-keeping.
  • Excellent communication and interpersonal abilities.
  • Previous experience in secretarial work and accounting.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High school diploma or equivalent; additional certification in accounting or related field is a plus.
