Our tight-knit Alpha Graphics - US723 team is actively seeking an Admin Assistant/Secretary to join us full time.
We’re looking for highly collaborative and dependable teammates driven by contributing to the success of a local business. We are a small, passionate, and fast-paced team that values the contributions of each member.
PositionWe are seeking a skilled and detail-oriented individual to join our team as a Bookkeeper/Admin Assistant with proficiency in Quick Books, strong secretarial skills, and accounting experience.
Responsibilities- Manage all administrative tasks for the company, including filing, data entry, and correspondence.
- Maintain accurate records of financial transactions using Quick Books.
- Assist in payroll processing.
- Handle accounts payable and accounts receivable processes.
- Prepare and reconcile bank statements and financial reports.
- Coordinate with suppliers and vendors for billing and invoicing.
- Provide secretarial support to management, including scheduling meetings and managing calendars.
- Assist in inventory management and ordering supplies as needed.
- Ensure compliance with relevant regulatory requirements and internal policies.
- Very importantly you should be able to update Quick Books Online and must have prior experience with QB.
- Proficiency in Microsoft Office suite is a definite plus.
- Coordinate with vendors and serve as the primary internal representative of the organization.
- Convey to the customer our expertise in products, services, and capabilities.
- Serve as an external key educator to our community and customers.
- Communicate customer requirements to the support team in accordance with company policies and procedures.
- Confer with customers by telephone or in-person to provide information, take or enter orders, cancel accounts, or obtain details of complaints.
- Determine charges for services, collect deposits or payments, or arrange for billing.
- Attract potential customers by answering product and service questions and suggesting information about other products and services.
- Strong organizational and multitasking skills; attention to detail and accuracy in data entry and financial record-keeping.
- Excellent communication and interpersonal abilities; previous experience in secretarial work and accounting.
- Ability to work independently and collaboratively in a fast-paced environment.
- High school diploma or equivalent; additional certification in accounting or related field is a plus.
