This role is central to managing client communication, supporting our tax team, and ensuring an exceptional client experience. The ideal candidate knows how to be both approachable and firm, balancing professionalism with the ability to set boundaries and manage expectations.

- Skilled at diffusing tension, handling upset clients, and turning conflict into a positive resolution.
- Resourceful and detail-oriented: able to work with unfamiliar documents, research requirements online, and confidently determine next steps.
- Thrives on speaking with people, resolving concerns, and ensuring clients feel supported and valued.

Key Responsibilities- Act as the primary point of contact for tax return document collection and related client communication.
- Oversee and support the tax team administratively, ensuring document requests and communications are timely, effective, and followed through.
- Proactively reach out to clients at the right times to increase retention, build trust, and elevate the overall client experience.
- Gather and relay client feedback to suggest and implement process improvements that enhance service quality.
- Maintain high standards of professionalism, accountability, and client care in every interaction.
- All client inquiries (calls and emails) are responded to same-day or within 24 business hours
- Client meetings are coordinated smoothly with accurate details communicated to all parties
- Documentation requests are followed up on until received and properly logged
- Accurate, up-to-date notes are maintained by EOD
- A high level of client satisfaction and professionalism is consistently demonstrated
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Professional phone presence and client-facing demeanor
- Comfortable with technology (CRM systems, scheduling tools, email)
- Self-sufficient, reliable, and proactive in follow-up
- Prior experience in client services, customer service, or office administration preferred
