Position OverviewWe are seeking a highly organized, proactive Executive Assistant to support the firm’s Leadership Team
, including the Managing Partner and Shareholders, and Administrative Team. This role requires exceptional organization, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will anticipate needs, streamline communication, and ensure that operational, administrative, and strategic initiatives are executed efficiently.
- Manage complex calendars, coordinate meetings, and handle travel logistics for leadership.
- Serve as the primary liaison between the leadership team, staff, clients, and external vendors.
- Support daily firm operations, including technology, vendor management, and office logistics.
- Organize firm records, reports, and data tracking for leadership review (case counts, billing summaries, performance reports).
- Prepare and coordinate materials for quarterly and annual leadership meetings, P&L reviews, and vision sessions.
- Assist in tracking key firm metrics, including case and financial reports, marketing activities, and HR updates.
- Maintain and update internal spreadsheets, trackers, and operational documents.
- Ensure timely communication and follow-through on firm initiatives led by shareholders.
- Coordinate recruitment, onboarding, and training logistics for new hires.
- Assist with employee performance reviews, salary tracking, and bonus schedules.
- Support firm culture through event planning, internal communications, and milestone recognition.
- Work closely with the administrative team to promote accountability and efficiency across departments.
- Serve as an administrative point of contact for client-related operational matters.
- Maintain client guidelines, approval processes, and compliance documentation.
- Manage vendor coordination, invoice tracking, and payments.
- Assist with firm marketing initiatives, including social media, newsletters, and event coordination.
- Help prepare materials for firm-sponsored seminars, conferences, and professional events.
- Track marketing metrics and assist with client development projects.
- Bachelor’s degree preferred or equivalent experience.
- 3+ years of experience supporting executives or leadership in a professional services environment (law firm experience preferred).
- Exceptional organizational, multitasking, and communication skills.
- High level of professionalism and discretion in handling confidential information.
- Proficiency in Microsoft Office and familiarity with software such as Clio or Quick Books.
