The Sales Inventory Control Coordinator plays a critical role in supporting the Sales Management team in executing daily inventory operations and maintaining the overall efficiency of sales processes. This position ensures that inventory pipelines are accurately managed across multiple brands, assists with order management, and communicates with various internal teams to support new and pre-owned sales operations.

Key Responsibilities
  • Assist in the management of vehicle inventory to ensure the accuracy of company records for sales operations.
  • Coordinate with Sales, Accounting, Service and Logistic teams to ensure timely updates on vehicle status changes, inbound deliveries, and unit availability.
  • Maintain accurate and up-to-date inventory documentation, including purchase information, titles, MSOs, and internal tracking forms.
  • Support order management by preparing necessary paperwork, verifying unit specifications, and ensuring orders meet brand and company requirements.
  • Generate and distribute regular inventory reports for leadership, highlighting key changes, shortages, or areas requiring attention.
  • Assist in the ordering of vehicles, as requested, using multiple manufacture web-based portals
  • Identify discrepancies between physical inventory and system records, proactively researching and resolving issues to maintain data integrity.
  • Ensure compliance with brand-specific inventory guidelines and audit requirements by maintaining organized and complete documentation.
  • Prepare and manage inventory reports and analysis.
  • Monitor vehicle pipelines for multiple and communicate anticipated delays, constraints, or changes to Sales Management to support accurate forecasting and customer updates.
  • Monitor aging inventory and assist management in communicating strategies to support sales efforts and inventory turnover goals.
  • Provide administrative support during monthly and quarterly inventory reconciliations, audits, and floorplan reviews.
  • Maintain integrity of vehicle records and reports
  • Attend all meetings are required and requested by management team
Qualifications
  • High school diploma or equivalent required.
  • Minimum 2–3 years of experience in automotive sales operations, inventory management, or dealership experience.
  • Knowledge of dealership DMS and manufacturer ordering systems required.
  • Excellent organizational and multitasking abilities.
  • Detail-oriented with a strong sense of accountability and accuracy.
  • Proficient in Microsoft Office (especially Excel) and comfortable with manual data entry.
  • Ability to follow direction and work independently with little supervision.
  • Professional attitude and attire is required.
  • Strong communication skills; bilingual (English/Spanish) is a plus.
Physical Requirements
  • Mostly sedentary with occasional standing, walking, bending and reaching.
  • Manual dexterity for data input.
  • Must be able to lift and carry up to 20 lbs. on occasion
  • Hearing and speaking are required.

  • May be exposed to varying temperatures, noise, and moving vehicles or equipment.
  • Interaction with sales, logistics, service, and accounting teams on a daily basis via phone and in person, and the manufacturer reps on occasion.
  • May require occasional overtime as approved in advance.
