National Mechanical is seeking a detail-oriented Billing Clerk/Administrative Assistant to support billing functions and provide general administrative support to our operations team. This role is responsible for accurate invoicing, organized recordkeeping, and day-to-day administrative assistance in a fast-paced service environment.
Primary Responsibilities- Prepare and process customer invoices, including progress billing and change notices
- Review work orders and documentation to ensure billing accuracy and completeness
- Perform basic accounts payable tasks, including invoice entry and assisting with check processing
- Monitor open work orders and support timely month-end and year-end billing close
- Research and resolve billing or payment discrepancies
- Support operations with administrative and project-related tasks
- Maintain and update multiple data-tracking spreadsheets
- Provide general administrative support to the operations team
- Provide backup support to dispatch by answering phones and assisting customers
- Perform other related duties as assigned
- 1–2 years of billing and/or administrative experience preferred
- Experience in a service, construction, or trade environment is an asset
- Proficient in Microsoft Office, particularly Excel and Word
- Experience working with billing or accounting systems preferred
- Familiarity with basic accounting principles is beneficial
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and meet deadlines
- Clear, professional communication and a team-oriented, dependable work style
