Position Summary

The purpose of this position is to provide direct and indirect administrative support to the Director and Managers of the Environmental, Health and Safety Office.

Responsibilities
  • Creating purchase requisitions and processing invoices.
  • Assisting EHS personnel with scheduling projects.
  • Communicating with vendors for scheduling and invoicing purposes.
  • Assisting in training program preparation and support (before, during and after each training).
  • Assisting with various tasks in support of key departmental reports.
  • Maintaining office supplies and assisting in asset inventory process.
  • Prepare purchase requisitions, process invoices, reconcile monthly P‑Card statements, monitor office expenditures and assist with department’s budget process by providing history of department’s expenditures.
  • Assist in maintaining compliance records and other service‑related documents by uploading documents to cloud storage sites and maintaining the department’s SharePoint site.
  • Update building floor plans using graphic software.
  • Receiving and filing correspondence, records, and reports.
  • Maintaining and disposing of files in accordance with College policies.
  • Prepare daily, weekly, monthly and quarterly reports in a variety of formats for internal planning, reporting and long‑range strategic planning.
  • Correct grammatical and spelling errors in draft material.
  • Make travel arrangements for Director and/or staff; prepare and submit travel vouchers and reports.
  • Communicate with visitors, staff, faculty, and students to assist in a courteous professional manner; communicate with internal and external entities.
  • Assist with communicating with vendors and contractors; submit internal work orders for facility repairs and services.
  • Maintain department’s calendar and scheduling; receive and route calls, take detailed messages, provide information, and refer inquiries to appropriate staff.
  • Distribute mail.
Minimum Qualifications
  • Associate’s degree AND at least 3 years of administrative support experience.
  • OR at least 5 years of administrative support experience.
Required Job Knowledge, Skills, and Abilities
  • Proficient in the use of Microsoft Office applications.
  • Proficient in graphic‑related software, i.e., Adobe Suite, Corel Draw Suite.
  • Excellent customer service skills with the ability to communicate courteously and effectively with students, faculty, staff, and public.
  • Detail‑oriented.
  • Excellent organizational skills.
  • Strong written and verbal communication skills.
  • Ability to use technology, media tools and various platforms.
  • Ability to maintain confidentiality.
  • Ability to manage multiple tasks/projects in a high‑paced, high‑performance work environment with minimal direct supervision.
Preferred Qualifications
  • Five years administrative support role in a fast‑paced, service‑based environment.
  • Experience in the Environmental or Safety Industry.
  • Experience with purchase order systems.
  • Experience in using graphic‑related software.
  • Experience in accident/injury reporting procedures.
