Administrative Assistant:
Research Computing Office

The Division of Research and Innovation is seeking an Administrative Assistant for the Research Computing Office (RCO). This full‑time (1.00 FTE), 12‑month professional faculty position reports to the Director of Strategy for Research Computing and provides executive‑level confidential support to the RCO Executive Team.

Key Responsibilities

  • Coordinate and maintain the RCO Executive Team calendars, evaluate meeting requests, prepare agendas and minutes, and track action items.
  • Arrange travel, conference registration, lodging, and travel reimbursement for the Executive Team.
  • Manage information and communication systems (distribution lists, SharePoint sites, Teams channels, shared drives).
  • Facilitate procurement of supplies and equipment, process invoices, and maintain electronic and paper office files.
  • Screen incoming calls, visitors, and correspondence; respond to inquiries and route to appropriate associates.
  • Plan and coordinate RCO events such as retreats and recognition celebrations, handling site selection, transportation, catering, and materials.
  • Engage in professional development and perform other duties assigned by the Executive Team.

Qualifications

  • Three (3) or more years of experience providing executive‑level administrative support in a complex environment.
  • Strong oral and written communication skills; excellent proof‑reading abilities.
  • Experience managing complex scheduling requirements with high attention to detail.
  • Proven event planning and logistical support experience.
  • Demonstrated multitasking, independent judgment, and strict adherence to confidentiality.
  • Commitment to diversity, equity, inclusion, and access.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, One Drive, Teams) and Zoom.
  • Ability to work independently and as a valued member of the Executive Team.

Preferred Experience

  • Work in higher education, public service, or a similarly complex organization.
  • Willingness to pursue professional development opportunities.
