About the Role

The Operations Support candidate possesses a strong understanding and abides by the policies and procedures of the firm and local office. Maintains an exceptional customer service attitude and demeanor at all times. Flexible and willing to pitch in wherever and whenever needed; always reflects a "can do" attitude. Takes ownership; gets the job done without the need for prodding or supervision.

Demonstrates a positive attitude and is approachable. Adapts well to fluctuations in workload and changes in responsibilities. Displays good judgment in handling confidential information. Is effective at limiting excessive socializing. Contributes to an atmosphere of teamwork and congeniality. Exhibits confident and professional verbal communication skills. Keeps appropriate people informed of the status of projects, work and deadlines. Answers questions clearly and thoroughly.

Position Requirements
  • Experience in copying, printing and scanning.
  • Accept and sign for packages.
  • Compile, scan, and distribute high volumes of incoming mail.
  • Effectively handle concierge services.
  • Set up conference room and ensure it is cleaned following each meeting.
  • Process all incoming faxes including sending notification email to recipient upon receipt, log and distribute fax.
  • Maintain office calendar system, including scheduling and setting up conference room.
  • Maintains a pleasant appearance at the reception area and lobby.
  • Fill all copiers/printers daily and arrange for servicing of the office equipment.
  • Supply ordering on a weekly basis.
  • Greets all visitors to the office in a friendly and helpful manner. Maintains knowledge of each attorneys' preferences in conveying various information to guests or callers.
  • Process outgoing mail.
  • Records and document filing as needed.
  • Other administrative, general office and clerical projects duties as assigned.
Skills and Abilities
  • Net Documents or other comparable document management system and the willingness to grow with this and other systems.
  • Microsoft Office Suite.
  • Attendance & Punctuality:
    Be consistently at work and on time; arrive at meetings and appointments on time; ensure work responsibilities are covered when absent.
  • Customer Service:
    Respond promptly to attorney and client requests for service and assistance; meet commitments.
  • Dependability:
    Follow instructions; complete tasks on time; commit to the hours necessary to complete assignments (without incurring unapproved overtime); work independently.

    Skills:

    Possess basic PC skills; ability to use phone system, copier, scanner, fax, and printer. Handle minor IT issues that may arise with utilizing the TV monitor system in the conference room. Ability to work under pressure and balance multiple and competing priorities. Ability to lift at least 50 lbs.
Company Offers
  • Salary range $50,000 - $55,000 and represents the firm’s good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent on a variety of factors including, but not limited to, the candidate’s experience, qualifications, and locations.
