Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
To provide a professional, welcoming, and efficient front-of-house service within the school setting. The School Receptionist will act as the first point of contact for visitors, parents/carers, staff, and external agencies, ensuring effective communication, safeguarding compliance, and smooth day-to-day administrative operations that support teaching, learning, and student wellbeing.
Key Responsibilities- Acting as the first point of contact for all visitors, ensuring sign-in procedures are followed in line with safeguarding requirements.
- Managing incoming telephone calls and emails, responding appropriately or directing enquiries to the relevant staff members.
- Maintaining accurate visitor records and ensuring safeguarding and health and safety procedures are consistently applied.
- Providing administrative support to teaching staff and the senior leadership team, including photocopying, filing, and document preparation.
- Managing student attendance records, late arrivals, and early departures in line with school procedures.
- Supporting communication with parents/carers, including relaying messages and assisting with appointment scheduling.
- Maintaining a tidy, professional, and welcoming reception area at all times.
- Supporting the Operational Manager with general administrative tasks as required.
- Ensuring compliance with GDPR, safeguarding, and school policies in all reception and administrative activities.
Qualifications & Knowledge
Understanding of or willingness to learn school administrative and reception procedures.
Awareness of safeguarding requirements within an educational setting.
Understanding of or willingness to learn data protection (GDPR) principles.
Competent in Microsoft Office and general IT systems.
Experience in a customer-facing or administrative role (desirable).
