Reports to the Practice Manager, the Patient Service Representative III is primarily responsible for collecting accurate demographic and insurance information from patients to facilitate a successful patient revenue cycle. Responsibilities include collecting and handling payments, providing customer service, answering phones, entering accurate and thorough data into EMR, test scheduling, referral processing, and other duties as assigned. The role requires compliance with all OSHA and HIPAA regulations.
Job DescriptionKey responsibilities:
- Schedules appointments for patients by phone or in person, matching physician availability with patient preferences.
- Verifies patient demographic information and current insurance details.
- Collects co‑pays, self‑pays, and outstanding balances.
- Ensures all information on the patient encounter is complete, accurate, and ready for charge entry.
- Performs daily close‑out procedures per policy.
- Manages referral process, outpatient test scheduling, and pre‑certification.
- Files and distributes patient information and incoming mail.
- Ensures timely distribution of patient requests.
- Coordinates with central billing office as needed.
- Completes all paper/electronic medical record reports.
- Orders supplies as needed and types correspondence.
- Uses customer service principles to handle patients calmly and pleasantly.
- Prepares new patient records and answers telephone within three rings.
- Completes additional duties as assigned in a timely, thorough, and accurate manner.

Education:
High School Diploma/G.E.D. (desired: Medical Office Experience)
Desired skills:
Knowledge of Excel, Word, Outlook, and PowerPoint.
Experience:
1 year in a customer service role.
