Overview
The Accounts Payable (AP) Lead is responsible for accurate, timely, and compliant processing of vendor invoices, payments, and expense reports. This role leads daily AP activities, ensuring strong internal controls and efficient workflows while supporting month‑end close and audit support.

- Accounts Payable Operations
- Lead end‑to‑end AP process, including reviewing, coding, processing, and allocating high‑volume invoices and check requests.
- Oversee and execute weekly payment cycles (checks, ACH, wires) for timely disbursement and cash‑flow optimization.
- Ensure segregation of duties and enforce compliance with internal controls and purchasing policies.
- Manage corporate credit card program and employee expense report auditing.
- Resolve complex or escalated payment, invoice, and vendor discrepancies.
- Maintain vendor master file, including new vendor set‑up and accurate W‑9 and banking information for 1099 compliance.
- Assist with annual 1099 filing preparation.
- Leadership, Training, and Process Improvement
- Serve as technical expert and resource for AP staff and internal stakeholders.
- Identify, recommend, and implement process improvements to enhance efficiency, accuracy, and automation.
- Develop and maintain comprehensive process documentation and SOPs.
- Provide training and guidance to AP team on best practices for invoice submission and expense management.
- Accounting and Reporting
- Assist Finance Leadership with AP portion of month‑end and year‑end close, including accruals and reconciliations.
- Reconcile AP sub‑ledger to the General Ledger.
- Prepare and provide AP metrics and aging reports.
- Support internal and external audit requests with documentation.
- Maintain competency annually and complete all assigned tasks by deadlines.
- Foster positive professional relationships with internal and external customers, partners, and stakeholders.
- Protect operations by maintaining confidentiality of financial information.
- Communicate corporate culture both internally and externally.

- Possible exposure to communicable diseases, blood borne pathogens, hazardous materials, and other health risks with appropriate precautions.
- May encounter blood, organs, and tissues for transplant or research in a hospital setting.
- Potential mental and visual fatigue from detailed work.
- Extended periods of sitting and occasional stair use.
- Repetitive motions of wrists, hands, and fingers; occasional light lifting up to 20 pounds.
- Full‑time position.
- Core office hours 10:00 am – 2:00 pm; flexible start and end times to meet 40‑hour week.
- Education and Experience
- 3–5 years of progressive AP experience, preferably high‑volume.
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field.
- Lead or supervisory experience strongly preferred.
- Experience in a non‑profit or healthcare setting preferred.
- Knowledge, Skills & Abilities
- Expert knowledge of full‑cycle AP principles and procedures.
- Strong understanding of GAAP.
- Proficiency with ERP or accounting software (e.g., Great Plains, SAP, Sage Intacct, etc.) and expense management systems (e.g., Concur).
- Advanced Microsoft Excel skills.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication.
- Proven problem‑solving and independent work ability with minimal supervision.
