Project Procurement & Logistics Coordinator

Golf Swing Systems is looking for an organised and proactive Project Procurement & Logistics Coordinator to join our team in Cranleigh.

We are one of the UK’s leading indoor golf and golf simulator specialists, designing, supplying and installing premium golf environments for private clients, golf clubs and commercial venues throughout the UK. We work with some of the world’s leading golf technology brands, including Trackman, with projects ranging from individual home golf rooms through to large multi-bay commercial installations.

This is a key role within our Projects team, responsible for making sure the equipment and materials required for our installations are ordered correctly, arrive on time and are ready for our installation teams.

The role would suit someone with experience in procurement, purchasing, logistics, project coordination or operations who enjoys taking ownership, keeping multiple projects organised and making sure nothing gets missed.

Working closely with our Project Manager and installation team, you will coordinate purchasing and logistics across multiple projects at different stages.

Your responsibilities will include:

• Reviewing upcoming projects and identifying equipment and materials that need to be ordered
• Placing and managing purchase orders with UK and international suppliers
• Checking quantities, specifications, measurements, pricing and delivery details before orders are placed
• Proactively chasing project information and measurements where required
• Maintaining accurate procurement and project tracking records
• Monitoring expected delivery dates and chasing suppliers where necessary
• Coordinating deliveries to our Cranleigh warehouse and directly to customer sites
• Keeping customers and the project team informed of important deliveries
• Checking incoming goods for correct quantities, specification and damage
• Resolving shortages, damaged goods and incorrect deliveries with suppliers
• Managing stock levels of commonly used project equipment and components
• Helping maintain an organised and accurate project warehouse
• Identifying potential supply or delivery problems early and finding alternative solutions where possible

The position is predominantly office based, although there is a practical element involving stock, deliveries and our project warehouse.

We’re looking for someone who is:

• Exceptionally organised with strong attention to detail
• Proactive and comfortable taking ownership of their workload
• Able to manage multiple projects and priorities at the same time
• Confident dealing with suppliers and chasing information when needed
• Comfortable checking information rather than simply processing what has been provided
• Commercially aware and conscious of costs
• A clear communicator with colleagues, suppliers and customers
• Confident using spreadsheets and business systems
• Comfortable working in both an office and warehouse environment
• Practical and willing to learn about the equipment and technology used in our installations

Experience in procurement, purchasing, logistics, project coordination, construction supply or a similar operational role would be beneficial.

Knowledge of golf or golf simulator technology is not required
. We’ll teach you the products. For us, organisation, accuracy, communication and a willingness to take ownership are more important.
