The post holder will provide a comprehensive, quality, confidential secretarial service to GP's as appropriate. It is essential that the post holder is able to exercise initiative suitable to the role and is fully supportive to other colleagues in the administrative team.

Main duties of the job

Provide a comprehensive secretarial service, organising and making arrangements, typing and distribution of documents and reports, recording information and filing, ensuring that all information and documentation is produced to expected standards of performance, and according to agreed timescales. Exercise own judgement, based on acquired knowledge and experience, as to when to deal with queries personally and when to contact the GP's and with what degree of urgency, according to agreed guidelines.

Be fully conversant with EMIS/Docman and all required electronic systems for correspondence, including specialist computer systems associated with the management of patients and/or health information, and being able to obtain information using the Internet. To produce minutes, document notes and action plans, distributing information as required. Prioritise work, and take appropriate steps to manage incoming and outgoing requests for action and/or information, including follow up, according to agreed timescales

Service Delivery

Staff at Hungerford Medical Centre must adhere to the information contained with practice policies and regional directives, ensuring protocols are adhered to at all times. Staff will be given detailed information during the induction process regarding policy and procedure.

Security

The security of the practice is the responsibility of allpersonnel. Staff must ensure they remain vigilant at all times and report any suspicious activity immediately to their line manager. Under no circumstances are staff to share the codes for the door locks to anyone and are to ensure that restricted areas remain effectively secured.

Professional Conduct

At Hungerford Medical Centre, staff are required to dress appropriately for their role. Administrative staff will be provided with auniform whilst clinical staff must dress in accordance with their role.

Job responsibilities
  • To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals, minutes, etc. in an accurate and quality manner.
  • To process all referrals including sending forms, letters and reports.
  • To action tasks from GPs and colleagues.
  • To assist the Managing Partner with all clerical and administrative duties as appropriate. To make appointments, bookings and admissions as required.
  • Attend meetings and take minutes.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • File patient records and correspondence in patient medical records.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer clinic system in an accurate and secure manner.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • Franking of outgoing mail.
  • Undertake any other duties appropriate to the post as requested by the Partners or Managing Partner
Person Specification Qualifications
  • GCSE grade A to C in English and Maths
  • NHS secretarial experience
  • Knowledge of EMIS/Docman
  • Knowledge of ERS Referral System
Experience
  • Working with an NHS setting.
  • Previous NHS secretarial experience
  • Experience of working in primary care
  • Experience of working in a GP practice
