Job Description
A career boosting opportunity has arisen for a bright, recent university or second jobber at a lovely boutique executive search based in the heart of the West End. This is a newly created role to help support the partners and associates at the growing firm. As a Team/Search Coordinator, you are responsible for managing the end-to-end search process; this involves everything from calendar management, scheduling interviews and meetings, creating pitch decks (PowerPoint) and generally acting as a linchpin and point of contact for stakeholders at all levels.
- Create polished client-facing documents, such as pitch decks, progress reports, and CV’s.
- Manage search mandates and ensure proper information flow in our Talent Relationship Management (TRM) system, by setting up new searches, maintaining and updating candidate and client profiles, logging meetings, and organizing notes.
- Take a project management approach to oversee timelines, prioritise tasks, and ensure deliverables are met on schedule.
- Format, edit, and create professional CV’s and bios for candidate submissions.
- Conduct candidate research and market mapping to support search efforts.
- Lead post-search debriefs to assess outcomes and summaries key takeaways.
- Serve as the primary point of contact for all client and candidate interactions, utilizing project management principles to streamline scheduling, manage priorities, and ensure seamless coordination across all touchpoints.
- Schedule and coordinate meetings between clients and candidates.
- Prepare materials for client meetings, attend calls, and actively track action items and follow-up tasks.
- Manage the logistics of candidate interviews, addressing any last-minute changes as needed.
- Coordinate travel and accommodation arrangements for candidates, working with travel agents to finalize details.
