Responsibilities
- To provide technical and administrative support to fee earning staff.
- To make effective use of case management systems and ensure efficient use of time and resources.
- To contribute to the development and improvement of business systems and processes.
1. Technical
- Support fee earning staff in the provision of a full range of conveyancing services
- Set up and manage transaction files (electronic & hard copy)
- Ensure accuracy of client and transaction data (data input & cleansing)
- Complete post completion duties including registration & replies to HMLR requisitions
- Maintain high standards of performance and customer service
- Deal with enquiries and client onboarding promptly and proactively, providing quotes on a same day basis
- Deal with routine calls for updates from clients / third parties
- Report any customer service issues or complaints to fee earners / senior staff promptly
- Case Management and customer communication systems
- Microsoft & email systems
- Advanced systems including electronic signatures and AML processes
- Internet and Intranet
- To make appropriate recommendations for service improvement
- To undertake any other appropriate duties as may be required
- To attend and complete relevant training
- To co-operate with and take part in the business’s appraisal process
- To demonstrate support for the firm’s development and values
- 12 months’ experience of full-service conveyancing practice and procedure including:
- File opening, client care and onboarding
- Client due diligence and compliance
- Post completion formalities
- Fluency with HMLR and standard industry forms and precedents
- Legal case management systems
- 3 years + legal assistant / secretary experience
- Expertise in residential conveyancing practice and procedure
- Knowledge and experience of regulatory compliance and familiarity with industry best practice standards including CQS and Lexcel
- Knowledge and experience of commercial conveyancing practice and procedure
- Excellent administrative skills and attention to detail
- Excellent interpersonal and communication skills
- Strong organisational skills
- Ability to work under pressure and meet deadlines
- Reliability, integrity, and discretion
- Willingness to constructively challenge own work to continually improve performance
- Punctual with excellent time management skills
- 5 GCSE’s or equivalent (A-C including Maths & English)
- 2 A-Levels or equivalent
- University degree (preferably law or business administration)
- CILEX (any level)
- Self-motivated, proactive, and friendly team player
- Flexible individual who can respect and support others within a team
- Commitment and loyalty to the organisation’s values & mission
- Ambition and drive to help others
