RESPONSIBLE TO: HEAD OF APPRENTICESHIPS

Overview

The Pastoral Officer plays a key role in ensuring all learners receive equitable, high‑quality support. Working closely with the Enrolment, SEND/ALN, and Safeguarding teams, the postholder identifies learner needs early, implements support plans, monitors progress, and provides emotional, academic, and wellbeing support.

Minimum Requirements
  • SEN Level 3 Diploma (or willingness to work towards within probationary period)
  • English and maths qualification to at least level 2
Core Skills & Experience
  • Experience working with apprentices or learners in an educational or training environment.
  • Strong understanding of SEND/ALN support frameworks.
  • Excellent communication and interpersonal skills for liaising with learners, families, staff, and external professionals.
  • Ability to identify learner needs and implement effective support strategies.
  • Sound knowledge of safeguarding principles and the ability to manage concerns sensitively and effectively.
  • Provided wellbeing support to learners.
  • Competence in maintaining accurate records and preparing high‑quality reports.
  • Ability to manage challenging situations with empathy, professionalism, and resilience.
  • Strong organisational skills, including prioritisation and time management.
Main Activities
  • Learner Support
    • Act as the primary point of contact for all learners and apprentices requiring support with wellbeing, emotional health, physical health, family matters, bereavement, finances, and housing issues.
    • Provide coaching, mentoring, and tailored interventions to remove barriers to learning
  • SEND/ALN Coordination
    • Identify support needs and develop learning plans that can be implemented by the ALN Team.
    • Collaborate closely with the ALN team to review and implement support for learners with SEND.
    • Monitor progress, update support plans, and liaise with staff and families to ensure needs are met.
  • Safeguarding and Welfare
    • Serve as a key member of the safeguarding team, promoting the wellbeing of all young people.
    • Maintain confidential records, manage risk, and escalate safeguarding concerns to the DSL and external agencies when required.
    • Ensure low‑level concerns are accurately identified, supported and escalated appropriately.
  • Attendance & Intervention
    • Track learner attendance and punctuality, identifying patterns and concerns.
    • Develop intervention strategies and action plans in collaboration with learners, employers and families.
  • Communication & Relationship Management
    • Build strong relationships with parents/carers, employers, trainers, and external agencies, ensuring collaborative support for learners.
  • Administration & Reporting
    • Maintain detailed records using PICS and One File
    • Prepare reports for management, local authorities, and educational review processes (such as EHCP meetings).
  • Development of Support Initiatives
    • Contribute to the creation and delivery of pastoral programmes including anti‑bullying projects, mentoring schemes, and mental health initiatives.
  • General Duties
    • Uphold all organisational policies, including Health & Safety, Safeguarding, Equality & Diversity, Prevent Duty, and British Values.
    • Participate in staff development and meetings, maintain CPD, and undertake additional duties aligned with the role.
  • Additional Activities
    • Participate in staff development activities and maintain ICU and CPD in line with organisational policy and personal development plan.
    • Attend staff meetings
    • Such other relevant duties commensurate with the post as may be assigned by your Manager in agreement with you. Such agreement should not be unreasonably withheld.

    Special Considerations

    The role will require travel although this is kept to a minimum where possible.
