We are a fast-growing wholesale building materials distributor specializing in nails, gun nails, screws, threaded rod, hanger wire, anchor bolts, square washers, and more. We supply major customers such as Ganahl Lumber, White Cap, and other leaders in the construction industry.
We are currently seeking a highly organized and detail-oriented Office Administrator to support our daily operations. This individual will handle payables, container tracking, receiving, and general clerical tasks that keep our business running smoothly.
Key Responsibilities- Manage accounts payable including invoice entry, vendor communication, and payment scheduling
- Track inbound containers, ocean freight, and drayage to ensure on-time arrivals
- Coordinate receiving documents, reconcile packing lists, and assist warehouse/operations with discrepancies
- Maintain accurate records for inventory, POs, shipments, and vendor files
- Assist with import documentation, customs releases, and communication with freight forwarders
- Provide clerical and administrative support such as filing, data entry, answering phones, and customer service
- Support the operations team with order processing, internal reporting, and communication with branches
- Work in Microsoft Great Plains (GP) to enter invoices, update POs, and maintain system accuracy
- Assist with general office duties such as scanning, scheduling, and organization projects
- 1–3 years of experience in office administration, accounting support, or clerical roles
- Prior experience in the building materials, construction supply, or distribution industries
- Familiarity with importing, ocean freight, drayage, or container logistics preferred.
- Experience using Microsoft Great Plains (GP) preferred
- Strong understanding of payables, invoice workflows, and vendor communication
- Excellent organization skills, attention to detail, and ability to multitask in a fast-paced environment
- Proficient in Microsoft Office (Excel, Word, Outlook)
- A reliable, proactive team member with strong communication skills
- Someone who is comfortable working with numbers, tracking shipments, and staying on top of deadlines
