AR Billing Specialist (Subcontractor Billing)

Position Overview

The AR Billing Specialist manages monthly progress billing for our subcontract work, from the schedule of values through approved pay applications. This role prepares and submits pay applications, tracks and bills change orders, and works with project managers and prime contractors to keep billing accurate and payments on time. This is a high-volume role supporting multiple projects with competing monthly deadlines.

Responsibilities

Progress Billing
  • Prepare and submit monthly pay applications using AIA G702/G703 forms or prime contractor formats.
  • Gather percent-complete and stored-material information from project managers before billing deadlines.
  • Submit billings through portals such as Textura, GCPay, or Procore.
  • Meet each prime contractor’s draft and final billing deadlines.
Change Orders
  • Track change order requests, pending change orders, and approved change orders.
  • Follow up with project managers and prime contractors until change orders are approved or rejected.
  • Add approved change orders to the schedule of values and bill them in the correct period.
  • Report pending and unapproved change orders to project managers and accounting leadership.
Accounting and Reporting
  • Post billings in Spectrum and reconcile billed amounts by project.
  • Support month-end close with billing schedules, overbilling and under billing data, and work-in-progress (WIP) report inputs.
  • Maintain complete billing files for audits and project closeout.
Qualifications
  • At least 5 years of hands-on construction accounts receivable experience, including preparing AIA G702/G703 pay applications.
  • Strong understanding of the construction change order process.
  • Experience with construction accounting software. Spectrum is strongly preferred; comparable systems include Vista, Sage 300 CRE, Foundation, or CMiC.
  • Intermediate Excel skills, including lookups, pivot tables, and reconciliations.
  • Experience supporting WIP reporting and percentage-of-completion revenue recognition.
Skills and Competencies
  • Accuracy in schedules of values, retainage calculations, and change order totals.
  • Ability to manage multiple projects and monthly billing deadlines.
  • Strong follow-through on pending change orders and missing billing information.
  • Clear, professional communication with project managers, prime contractors, and owners’ representatives.
  • Ability to resolve rejected pay applications and short payments.
  • Strong organization and recordkeeping skills.
