Position overviewThe Office Manager will serve as the central hub for all office operations, administration, and employee support functions at Legacy Knight. This role ensures the office runs smoothly and efficiently while supporting the executive team, internal departments, and external partners. The Office Manager will manage vendors, technology coordination, employee onboarding, accounting support, and firm-wide events, while also driving a positive and professional office culture.
In this role, you will:
- Oversee daily office operations, supplies, and vendor relationships.
- Support accounting processes, including expense management and invoice tracking.
- Coordinate technology needs and serve as the first line of support for IT.
- Plan and execute meetings, internal events, and employee engagement initiatives.
- Provide professional administrative support to executives, employees, and clients.
Office Operations and Administration
- Manage ordering and inventory of office supplies, branded items, stationery, and business cards.
- Oversee mail, package delivery, and the company phone.
- Coordinate building access cards, parking, and security needs.
- Communicate building updates to employees.
- Greet guests and ensure a professional client experience.
Finance and Accounting Support
- Partner with accounting team to track invoices, contracts, and NDAs.
- Manage company credit cards and assist with coding expenses each month.
- Process payments, submit invoices, and manage company subscriptions.
- Maintain financial records for office-related expenses.
Technology and Systems
- Serve as the primary contact for IT issues, coordinating with vendors to resolve problems.
- Assist employees with basic troubleshooting and escalates when necessary.
- Maintain and update CRM data (Salesforce).
- Support rollout of new technologies and process improvements.
Employee Onboarding and Engagement
- Manage onboarding for new employees, including technology setup, building access, and welcome materials.
- Organize company folders, templates, and documentation systems.
- Coordinate quarterly company meetings, team events, and office-wide gatherings.
- Track and celebrate employee birthdays, anniversaries, and life events to promote engagement.
