The Sales Coordinator plays a key role in supporting the Sales Team by driving organization, communication, and workflow alignment. This role helps keep the team moving by managing timelines, preparing sales materials, coordinating product setup details, tracking key milestones, and ensuring all information needed for successful execution is accurate, accessible, and up to date. The position focuses on keeping the Sales Team organized, prepared, and supported with structured processes, clean documentation, and consistent follow‑through, and reports directly to the VP of Sales.
Responsibilities- Serve as the central organizer for the Sales Team—managing timelines, task lists, calendars, and follow‑ups across all active projects.
- Maintain and organize all sales and marketing assets in One Drive or designated shared platforms.
- Track progress on deliverables and proactively flag risks, delays, or missing information.
- Maintain internal trackers for items, orders, samples, program timelines, and account‑specific requirements.
- Organize and prepare materials for internal and customer meetings, ensuring accuracy, completeness, and visual readiness.
- Support product setup by coordinating item details, images, content, and specifications across internal systems and retailer portals.
- Maintain accurate, consistent, and organized product information and documentation for easy team access.
- Coordinate product samples—including organizing, tracking, packaging, and shipping—for meetings, reviews, and testing.
- Facilitate communication with internal teams—including Supply Chain, Operations, Marketing, and Finance—to ensure alignment on account needs and timelines.
- Manage follow‑ups with external partners to keep tasks on schedule and ensure all required information is received.
- Support onboarding of new retail accounts by organizing documentation, compliance requirements, and internal setup steps.
- Maintain sales tools, templates, and reference documents—ensuring they remain current, well‑organized, and easy for the team to use.
- Support creation and upkeep of sales documentation including pricing updates, item lists, content libraries, and program trackers.
- Create and maintain account profiles (terms, margin/DI/DOM structure, buying processes, display details, deductions).
- Maintain and update account‑specific assortments and documentation promptly when retailer guidelines or requirements change.
- Assist in preparing quotes, sales decks, and meeting materials by gathering, organizing, and formatting relevant information.
- Communicate with reps and retail partners regarding administrative needs such as product setup requirements, documentation, samples, and compliance requests.
- Provide consistent follow‑through to ensure partners receive the information and materials needed for successful execution.
- Perform general administrative and coordination tasks to support Sales Team workflow.
- Manage multiple timelines in a fast‑paced environment while maintaining clarity, accuracy, and strong attention to detail.
- Coordinate closely with the India operations team to align on account tasks, clarify requirements, and ensure timely completion.
- 3–5 years of experience in coordination, project administration, account support, or similar organizational roles.
