Job Overview

Under the direction of the Executive Vice President(s), serves as a trusted executive partner providing high-level administrative, operational, and strategic support. This role requires sound judgment, discretion, and the ability to manage complex priorities in a fast-paced executive environment. The Executive Assistant acts as an extension of the EVP(s), proactively coordinating schedules, communications, information flow, and key initiatives while maintaining strict confidentiality and professionalism.

The role regularly interfaces with senior leaders, external stakeholders, and community partners and operates with a high degree of autonomy and minimal supervision.

What You Will Be Doing
  • Provides high-level, confidential executive support, exercising sound judgment, discretion, and independent decision-making in support of Executive Vice President(s).
  • Acts as a trusted executive partner, proactively anticipating needs, managing priorities, and enabling executive effectiveness in a fast-paced environment.
  • Manages complex executive calendars, scheduling meetings and commitments while balancing competing priorities and aligning with business objectives.
  • Serves as a gatekeeper for executive communications, screening inquiries, managing information flow, and independently resolving issues when appropriate.
  • Drafts, edits, and reviews executive correspondence, reports, presentations, and briefing materials with a high degree of accuracy, professionalism, and confidentiality.
  • Coordinates executive meetings, briefings, and events, including agendas, materials, logistics, and follow-up on action items.
  • Plans and coordinates domestic and international travel, including itineraries, approvals, and expense reporting, ensuring accuracy and policy compliance.
  • Utilizes enterprise systems and collaboration tools (Microsoft 365, Teams, SharePoint, SAP Concur, Oracle platforms, etc.) to streamline workflows and improve executive efficiency.
  • Maintains organized digital and physical records in accordance with records management, retention standards, and confidentiality requirements.
  • Supports budget tracking, expense reconciliation, procurement requests, and Travel Card transactions, ensuring proper documentation and compliance.
  • Builds and maintains effective working relationships with internal leaders, external stakeholders, and community partners, representing the executive office with professionalism.
  • May provide functional guidance or coordination to administrative staff within the division and performs other related duties in support of executive and organizational priorities.
What You Need
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Four (4) or more years of experience providing high-level administrative or executive support in a complex organization.
  • Demonstrated ability to support senior leaders with discretion, professionalism, and independent judgment.
  • Advanced proficiency with modern office technology and collaboration platforms.
  • Possession of a valid Class C driver’s license, if required by assignment.
Required Knowledge, Skills, And Abilities
  • Strong understanding of executive office protocols, confidentiality, and professional communication standards.
  • Ability to anticipate executive needs and proactively manage priorities in a dynamic environment.
  • Advanced proficiency with Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, One Drive).
  • Experience working with enterprise systems such as SAP Concur and Oracle platforms.
  • Excellent written and verbal communication skills, with the ability to interact effectively at all organizational levels.
  • High level of emotional intelligence, discretion, and executive presence.
  • Strong organizational and time-management skills with attention to detail and accuracy.
  • Ability to adapt quickly to changing priorities while maintaining composure and professionalism.
  • Ability to establish and maintain effective working relationships across diverse stakeholders.
