Administrative Assistant (Tax Background Required) Base pay range

$20.00/hr - $25.00/hr

Work Schedule

In-office, Monday through Friday (8:30 AM to 5:30 PM)

Pay Rate

$25/hour

Position Overview

We are seeking an experienced Administrative Assistant with a tax background to support a professional services office in a fast‑paced, deadline‑driven environment. This role provides direct administrative support to principals and staff and requires strong attention to detail, discretion, and the ability to manage multiple priorities.

Day-to-Day Responsibilities
  • Maintain and update client records in Oracle
  • Set up new clients and upload MSAs and SOWs into Agiloft
  • Prepare and process engagement letters (backup support)
  • Upload e‑filing acceptances in User Verse
  • Mail taxpayer copies to clients, including certified mail
  • Scan and process documents as needed
  • Provide backup coverage for front desk operations
  • Assist with expense reporting for principals
  • Coordinate travel reservations for principals as needed
  • Provide general administrative and processing support as backup for current staff
Required Qualifications Education
  • High School Diploma, GED, or equivalent required
Experience
  • 3+ years of administrative experience required
  • Prior experience supporting tax teams or working in a tax environment is required
  • Professional services firm experience strongly preferred
Required Software & Tools
  • Oracle (required)
  • Advanced proficiency in Microsoft Word, Excel, and Outlook
Preferred Tools
  • Ability to work in a deadline‑driven tax environment
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication, including strong grammar and punctuation
  • Proven ability to handle highly confidential information
  • Strong customer service skills with professionalism and discretion
  • Ability to work effectively with senior leadership and external clients
  • Collaborative team player willing to provide backup support when needed
