Job Summary

The Department Operations Analyst plays a key role in supporting and optimizing departmental operations within UT Southwestern’s health system enterprise, with a primary focus on data integrity, reporting, and process improvement in People Soft and other Human Resources Information Systems (HRIS). This position ensures the accuracy and efficiency of personnel transactions, position management, and workforce reporting, providing vital analytical and technical support to departmental leadership.

The Analyst collaborates closely with UTSW Human Resources, Internal Medicine Grants & Finance teams, and the Office of Postdoctoral Affairs, to streamline workflows, troubleshoot system issues, and enhance the integration of HRIS data with departmental operations. Responsibilities include managing and auditing employee records in People Soft, preparing workforce analytics and operational dashboards ensuring compliance with institutional and regulatory requirements, and serving as the department’s subject matter expert on HRIS functionality and reporting.

This role requires strong technical aptitude with enterprise HR systems, attention to detail, and the ability to translate complex data into actionable insights that improve administrative efficiency and support the department’s academic and clinical mission. Please note, this role is 100% on site.

JOB DUTIES
  • Performs a variety of operational and analytical assignments to accomplish objectives.
  • Leads and guides approval of departmental contracts for goods and services to ensure: (a) compliance with University and departmental policies and procedures; (b) thorough record-keeping; and (c) that business terms and conditions support favorable outcomes for the University.
  • Facilitates departmental activities against multi-year strategic sourcing plan; recommends timelines for RFPs; assists departmental leadership with development of sourcing intake documents, including detailed scopes of work and comprehensive bidder questionnaires.
  • Leads and analyzes operational reports from the department and/or request tracking system(s).
  • Creates, monitors and tests existing operations activities processes to ensure completeness of the system of internal controls.
  • Creates business processes, identifies, and presents operational process improvement opportunities to supervisor.
  • Develops, tests, and documents business improvement plans; supports implementation.
  • Manages library of departmental standard operating procedures, which will include testing, completion of or coordination of updates, and creation of new SOPs to close gaps in documentation.
  • Creates and/or updates operational communications plans and training documentation.
  • Assists with coordinating multiple projects concurrently.
  • Assists or completes data collection, aggregation, and analysis.
  • Performs other duties as assigned.
