We’re hiring a Student Success Manager to ensure every student has a white-glove experience and gets the most out of their Med School Insiders program. You'll coordinate across our offerings, from medical school admissions advising and MCAT/USMLE support to residency guidance, and manage day-to-day operations for our premium programs, where students are supported by a dedicated team of physician advisors, college advisors, and tutors.
You'll be the proactive voice reaching out, checking in, and making sure every student feels supported, valued, and on track.
- Serve as the primary point of contact for students and families across our programs, delivering a warm, polished, concierge-level experience.
- Proactively check in with students on a regular cadence to track milestones (MCAT/USMLE prep, applications, admissions, residency match) and catch roadblocks early.
- Manage a high volume of students while providing deeper, high-touch coordination for those in premium programs.
- Coordinate students' advisor and tutor teams, from assignment and onboarding through ongoing support.
- Onboard new advisors and tutors using our standardized email sequences, role videos, and workflow documentation.
- Build and maintain student study schedules and progress tracking in Google Sheets, including dashboards and tutor worksheets.
- Escalate issues to advisors or leadership when needed, and flag opportunities where a student would benefit from additional services.
- Keep student records, pipelines, and communications current in Attio, Front, Notion, and our internal student and advisor platform.
- Use AI tools (including Claude) daily to draft communications, prepare student updates, and run standardized workflows, while keeping every output accurate and human.
- Document and improve processes so the student experience stays consistent as our programs grow.
- Native‑level English communication, written and spoken.
- A professional, empathetic, and polished presence; students and parents should feel cared for and confident after every interaction.
- 2+ years in customer success, client services, account management, or program/operations coordination, ideally in a premium or high‑touch setting.
- Ability to manage a large caseload across multiple programs while still delivering a premium experience for top‑tier clients.
- Strong organization and follow‑through across many moving parts and people at once.
- Comfort with Google Sheets beyond the basics (formulas, linked files, dashboards) is a plus
- Experience with CRMs and collaboration tools (Attio, Front, Notion, or similar).
- Hands‑on experience using AI tools to work faster and better, with good judgment about what to check before anything goes out.
- Bonus: familiarity with medical education (pre‑med, MCAT, medical school, residency).
- High student satisfaction and referral rates across programs.
- Every student has a well‑coordinated support team and an up‑to‑date plan.
- Students hit their milestones: test score goals, Final date to receive applicationss, admissions and match results.
- Advisors and tutors are onboarded quickly and clearly, and workflows are documented and repeatable.
- Upsell opportunities are identified where they genuinely improve a student’s outcome.
