Position: Associate Director, Cashiering & Bill Pay

The Role

This role leads the firm’s cashiering and bill payment functions, ensuring accuracy, timeliness, and compliance across all client money movement activities. This individual oversees daily operations, manages and develops the cashiering team, and serves as an escalation point for complex or high‑value transactions. This individual will partner closely with Operations, Accounting, and Advisory teams to deliver a seamless client experience while maintaining the highest standards of control, efficiency, and service excellence.

  • Oversee and manage all cashiering and bill pay activities, including incoming/outgoing wires, checks, ACH transfers, and related reconciliations.
  • Serve as the final approver for client money movements, ensuring adherence to firm procedures, internal controls, and regulatory standards.
  • Demonstrate strong communication and client service skills by conducting clear, professional callbacks to confirm client instructions and ensure accuracy of transactions.
  • Supervise, mentor, and train team members; establish performance goals and provide ongoing feedback and development opportunities.
  • Serve as the subject matter expert for the firm’s Bill Pay process, including associated technology platforms, tools, and vendor relationships; lead ongoing improvements and ensure best practices are maintained.
  • Design, implement, and maintain efficient workflows, controls, and documentation standards to support audit readiness and operational excellence.
  • Partner with custodians and financial institutions to resolve escalated transaction discrepancies or service issues.
  • Collaborate cross‑functionally with Accounting, Compliance, and Technology to enhance processes and systems supporting cashiering and bill pay operations.
  • Analyze transaction trends and operational data to identify areas for automation, risk mitigation, and service improvement.
  • Ensure timely reconciliation and reporting of all client and firm cash activities.
  • Represent the cashiering and bill pay function in internal audits, regulatory reviews, and policy development discussions.
  • Uphold strict confidentiality and sound judgment in handling sensitive financial and client information.
Qualifications
  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (or equivalent experience).
  • 3+ years of experience in cashiering, cash operations, or similar financial operations roles within wealth management, banking, or investment advisory environments.
  • Demonstrated leadership and people management experience, including coaching and team development.
  • Proven expertise with custodial platforms (e.g., Schwab, Fidelity, Pershing) and advanced Excel proficiency.
  • Strong understanding of internal controls, reconciliation procedures, and regulatory compliance requirements.
  • Exceptional attention to detail, accuracy, and operational discipline.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams and levels.
  • Strategic thinker with a continuous improvement mindset and a focus on operational excellence.
