Role OverviewWe are seeking a highly organized and detail-oriented Funding Specialist to join our Title Operations team. This role is responsible for managing the full title life cycle—from processing to release—ensuring compliance with state-specific DMV regulations, and providing exceptional service to customers and third parties throughout the process. The ideal candidate will possess strong problem-solving skills, excellent communication abilities, and a customer-first mindset, as this role frequently involves resolving title-related issues that impact customer satisfaction.
Key ResponsibilitiesTitle Processing & DMV Management
Accurately process vehicle titles and submit documentation in accordance with state DMV requirements.
Monitor and follow up on DMV paperwork, including rejected applications, lien placements, and duplicate title requests.
Validate incoming titles to ensure accuracy and completeness prior to processing.
Customer & Third-Party Communication
Communicate with customers to request additional documents or clarify discrepancies related to title processing.
Engage with external parties such as lienholders, dealerships, or DMV offices to support title resolution.
Proactively handle customer concerns or issues that may impact the timely release of a title, including account disputes or unresolved closures.
Account & Title Management
Manage account closures and title release steps, ensuring all necessary documentation and payments are received.
Coordinate state-to-state title transfers and identify any compliance requirements for specific jurisdictions.
Track titles and payments to ensure visibility and accountability throughout the title release process.
Payment & Administrative Support
Post payment checks to appropriate accounts in a timely and accurate manner.
Prepare outgoing mail for title packets and documentation, ensuring compliance with mailing standards.
Retrieve and organize mail from the PO box daily, sorting and distributing title-related documents accordingly.
Issue Resolution & Escalation
Investigate and resolve title-related concerns that may lead to customer dissatisfaction.
Escalate complex cases to management when needed, while maintaining ownership of assigned tasks.
General Title Department Support
Assist with various back-office functions and special projects as assigned.
Remain flexible and responsive to the evolving needs of the department and support other team members as necessary.
Skills & Qualifications
Willingness to learn and adapt to changing processes, regulations, and business goals..
Exceptional customer service and communication skills, both verbal and written.
Ability to manage multiple tasks and deadlines with accuracy and efficiency.
High level of attention to detail and a commitment to data integrity.
Strong organizational and time-management skills.
Proficient with common office tools (e.g., email, spreadsheets, document scanning) and CRM or case management systems.
Prior title processing experience is a plus, but not required. Training will be provided.
This role involves direct interaction with sensitive customer accounts and third parties.
Flexibility and a proactive approach are key, as processes may vary by state or change based on company priorities.
