Role Overview

We are seeking an experienced, detail-oriented Sr. Associate, Payroll to manage payroll operations for approximately 2,000 employees. This role requires deep knowledge of payroll processing, strong proficiency with Workday, and the ability to optimize processes through technology.

Payroll Operations
  • Process payroll data including new hires, terminations, salary changes, and timekeeping information for accuracy.
  • Handle termination, relocation, and other special payrolls in compliance with company policies and regulations.
  • Review and reconcile payroll reports to identify and resolve discrepancies.
  • Investigate potential errors and plan administration issues, documenting recommendations for resolution.
  • Collaborate with HR, Finance, and other departments to ensure accurate payroll data and resolve inquiries.
  • Notify the Treasury team of wire funding needs and provide payroll amount reports for cash‑flow management.
  • Liaise with third‑party processing companies for filing, payment, and reconciliation of agency reports.
  • Act as subject‑matter expert on timekeeping, tax, garnishment, payroll, and time‑off programs for employees and managers.
  • Provide high‑level customer service and escalation support as needed.
Workday Payroll Management
  • Serve as the subject‑matter expert on Workday payroll and timekeeping functionality.
  • Use Workday to manage payroll processes, including setup, data entry, and calculations.
  • Collaborate with the HR technology team to modify, test, and upgrade system enhancements, integrations, and upgrades related to payroll.
  • Troubleshoot system issues, provide end‑user support, and coordinate with Workday, ADP, and PEO (Insperity) support teams.
Compliance and Reporting
  • Stay current on payroll regulations, tax laws, and compliance requirements.
  • Ensure accurate and timely filing of payroll‑related reports and tax filings.
  • Prepare and distribute employee payroll statements and reports such as earnings summaries, tax forms, and year‑end documentation.
  • Coordinate with auditors and respond to payroll‑related audit inquiries.
  • Maintain confidentiality of employee payroll information and adhere to data privacy and security standards.
Process Improvement
  • Identify opportunities to streamline payroll processes and improve efficiency through automation and system enhancements.
  • Implement best practices and standardized procedures to ensure accuracy and consistency in payroll operations.
  • Monitor and evaluate payroll practices and systems, recommending improvements to enhance accuracy, compliance, and employee experience.
  • Continuously create and update SOP.
Required Qualifications
  • Bachelor’s Degree in Human Resources or related fields.
  • Minimum of 5 years of multi‑state payroll and tax experience.
  • Minimum of 1 year experience in Workday Timekeeping and Payroll (highly preferred).
  • Minimum of 1 year experience in ADP Smart Compliance (highly preferred).
  • Strong interpersonal skills and ability to build relationships with stakeholders.
  • Highly proficient with Excel (VLOOKUPs, Pivot tables, Formulas), PowerPoint, and Word.
  • Self‑motivated with the ability to excel in fast‑paced environments.
  • Demonstrated analytical and problem‑solving skills.
  • Exceptional organizational skills and attention to detail.
  • Extensive knowledge of applicable state and federal employment, wage & hour, and labor laws.
Preferred Qualifications
  • Experience working in a shared‑service environment or with outsourced service providers.
  • Experience with ADP and PEO platforms.
  • Certified Payroll Professional.
