Recruiting Operations Coordinator

Help Keep the Hiring Process Moving

We are seeking a highly organized Recruiting Operations Coordinator to support recruiting operations, candidate management, and interview scheduling for a project-based talent acquisition initiative. This role is ideal for someone who understands the recruiting lifecycle and enjoys keeping all the moving pieces organized. You'll work closely with recruiters, hiring managers, interview teams, and candidates while using Workday Recruiting to ensure candidates move efficiently and accurately through the hiring process.

• Support day-to-day recruiting operations, interview coordination, and administrative activities.
• Manage candidate records and recruiting workflows within Workday Recruiting.
• Coordinate interviews across candidates, recruiters, hiring managers, and interview teams.
• Manage complex calendars, scheduling conflicts, reschedules, and last-minute changes.
• Send candidate interview confirmations, instructions, reminders, and follow-up communications.
• Monitor candidate progress and follow up on outstanding activities or required actions.
• Support recruiters and hiring managers with administrative needs throughout the recruiting process.
• Maintain accurate recruiting trackers, documentation, reports, and project records.
• Track interview activity, candidate status, outstanding actions, and recruiting metrics.
• Identify scheduling conflicts, workflow issues, and process delays and elevate them appropriately.
• Deliver a professional, responsive experience for candidates and internal stakeholders.
• Support Hire Vue scheduling and interview activities as needed.

• Previous experience supporting recruiting, talent acquisition, HR, or recruiting operations.
• Hands-on experience with Workday, preferably Workday Recruiting.
• Understanding of recruiting workflows and the candidate lifecycle.
• Experience coordinating interviews involving multiple candidates and hiring stakeholders.
• Strong calendar management and scheduling skills.
• Excellent organization and attention to detail.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities, deadlines, and scheduling changes in a fast-paced environment.
• Proficiency with Microsoft Outlook, Teams, Office, or similar productivity tools.
• Ability to work independently while effectively supporting recruiters, hiring managers, and project stakeholders.

• Experience with Hire Vue or similar interview scheduling platforms.
• Experience supporting high-volume recruiting or interview scheduling.
• Experience creating and maintaining recruiting reports, trackers, and status updates.
• Familiarity with recruiting metrics, service-level expectations, and process-driven recruiting environments.
