JobOverview
The Events Team Leader is responsible for overseeing the planning, coordination, and execution of a wide range of university events, ensuring that they align with the institution’s mission, brand, and goals. This position requires a dynamic, results-oriented leader who can manage multiple events simultaneously, work cross-functionally with internal and external stakeholders, and ensure all events are executed to the highest standard.
Responsibilities- Event Strategy & Planning:
Lead the strategic planning, development, and execution of university events, including academic conferences, donor events, commencement, faculty and student ceremonies, alumni gatherings, and community outreach events. - Team Leadership & Development:
Manage, mentor, and provide leadership to the events team, including event coordinators and support staff. Foster a collaborative team environment and support professional growth and development. - Budget & Resource Management:
Develop and manage event budgets, ensuring that events are planned within financial parameters. Negotiate contracts with vendors, suppliers, and venues to secure favorable terms and cost-effective solutions. - Event Coordination:
Oversee all aspects of event logistics, including venue selection, catering, entertainment, technology, transportation, and guest services. Ensure all details are meticulously planned and executed on time. - Stakeholder
Collaboration:
Work closely with university departments, academic units, external partners, sponsors, and community organizations to coordinate event needs and ensure that objectives are met. Act as the main point of contact for event-related inquiries and communications. - Marketing & Promotion:
Collaborate with the university’s marketing and communications teams to promote events and ensure alignment with the institution’s messaging and branding. Support event marketing strategies, including the creation of promotional materials, social media outreach, and audience engagement. - Risk Management & Compliance:
Ensure all events comply with university policies, safety protocols, and legal regulations. Assess and mitigate potential risks associated with events, including safety, accessibility, and insurance requirements. - Post-Event Evaluation & Reporting:
Oversee the collection of feedback from attendees, stakeholders, and team members. Evaluate the success of each event based on defined metrics and provide recommendations for improvement in future events. - Continuous Improvement:
Stay informed about industry trends, best practices, and technological advancements to continuously enhance the quality and efficiency of events. Implement innovative ideas to improve attendee experiences and optimize event operations.
- Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field preferred. Experience in event planning or related activities required.
- Strong leadership, organizational, and time-management skills, with the ability to handle multiple priorities in a fast-paced environment.
- Exceptional written and verbal communication skills, including the ability to effectively communicate with senior leadership, stakeholders, and vendors.
- Advanced problem-solving skills and the ability to think creatively and adapt quickly to changing needs or unforeseen challenges.
- Budgeting and financial management experience, with the ability to oversee and control event budgets.
