Job DescriptionAddison Group is hiring an Events Coordinator on behalf of our client. This role focuses on planning, organizing, and executing in-person events that support both internal initiatives and client-facing engagements. The Events Coordinator will oversee events from initial concept through completion, ensuring seamless execution, strong attendance, and a polished brand presence. This position supports multiple office locations and requires close collaboration with marketing, business development, and leadership teams.
Key Responsibilities- Plan and execute a variety of firm-hosted events, including client programs, professional seminars, retreats, office celebrations, and internal meetings.
- Manage all logistical aspects of events, including venue research, vendor coordination, contracts, audiovisual needs, catering, transportation, and on-site troubleshooting.
- Partner with marketing and business development teams to promote events and maximize engagement and visibility.
- Oversee event timelines, budgets, and expense tracking, ensuring accurate reporting and reconciliation.
- Coordinate attendee communications, registrations, signage, materials, and post-event follow-up.
- Prepare post-event summaries detailing attendance, costs, and overall effectiveness.
- Evaluate event outcomes and recommend process improvements for future programs.
- Maintain strong relationships with external vendors, venues, and service providers.
- Experience coordinating marketing and event initiatives within a law firm or professional services environment.
- Proven ability to manage events of varying sizes, including logistics, vendors, contracts, and budgets.
- Familiarity with event communication tools, CRM systems, and standard marketing or vendor platforms.
- Strong organizational, communication, and time-management skills with the ability to work across teams and with senior stakeholders.
- Proficiency in Microsoft Office, including Excel, Outlook, and PowerPoint.
- Professional presence with a polished, detail-oriented, and collaborative approach.
