The Transaction Coordinator will coordinate, manage and execute all administrative activities related to the Firm’s multifamily apartment acquisition, disposition and financing activities. This role serves as the central point of communication among internal teams, sellers, lenders, legal counsel, title/escrow, and third-party vendors to ensure transactions move efficiently from deal initiation through closing. The Transaction Coordinator will also support the Firm’s in‑house General Counsel in various other legal, compliance, insurance and risk‑management tasks.
The ideal candidate is detail‑oriented, highly organized, proactive, and experienced in real estate transaction workflows—especially in multifamily real estate and Agency financing.
- Coordinate lifecycle of transaction workflows from LOI execution through closing.
- Preparation and submission of lender deliverables.
- Organizing and coordinating onsite due diligence, 3rd‑party vendors and property inspection teams.
- Maintain the acquisition checklists, critical dates calendar, and closing timeline – ensuring deadlines are met by internal and external teams.
- Track and manage contingencies, due diligence deadlines, and deliverables.
- Organize and oversee the diligence data room, ensuring all documents are collected, reviewed, and properly stored.
- Interface with sellers, brokers, property managers, environmental/engineering consultants, and attorneys to gather property information and resolve open items.
- Provide post‑closing information to asset management, accounting and loan servicer for reporting purposes.
- Manage all administrative aspects of the debt financing process, including preparation of lender deliverables, lender forms and applications, third‑party reports, lender approvals, and loan closing.
- Ensure proper alignment of loan closing with acquisition closing and keep all parties on schedule.
- Pursue the resolution of various issues during the due diligence/closing process.
- Prepare and review transaction summaries, closing memos, and internal investment packages.
- Manage KYC, investor/ownership documentation, organizational charts, and compliance materials required by lenders and title.
- Assist with entity formation, qualification, and banking setup for new acquisitions.
- Maintain accurate and organized electronic filing systems for all closed transactions.
- Serve as the lead point of contact for internal teams (acquisitions, asset management, accounting) during active transactions.
- Provide regular status updates to leadership and maintain detailed transaction progress schedules.
- Proactively identify bottlenecks and develop solutions to keep transactions moving forward.
- Assist with contract management, regulatory and legal filings, lender and investor reporting, litigation tracking and various other risk‑management tasks.
- Prepare and track investor transfer agreements and submit to various teams once approved.
- 5+ years of experience in real estate transactions.
- Experience with multifamily transactions and Agency financing strongly preferred.
- Understanding of commercial real estate due diligence processes and closing logistics.
- Exceptional organizational skills, attention to detail, and ability to manage multiple simultaneous transactions.
- Strong written and verbal communication skills.
- Ability to work independently, anticipate needs, and maintain composure in a deadline‑driven environment.
