About the Role:

The HR Administrative Assistant plays a crucial role in supporting the human resources department within a manufacturing environment by managing a variety of administrative and clerical tasks. This position ensures the smooth operation of HR functions by maintaining employee records, coordinating recruitment processes, and assisting with onboarding activities. The role requires close collaboration with HR managers and other departments to facilitate effective communication and compliance with company policies and labor regulations.

By handling routine inquiries and managing documentation, the HR Administrative Assistant contributes to a positive employee experience and efficient HR service delivery. Ultimately, this position supports the overall organizational goals by enabling the HR team to focus on strategic initiatives through effective administrative support.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business Administration, or related field preferred
  • 1-2 years of experience in an administrative or HR support role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with HR software or databases (e.g., HRIS) is a plus.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Discretion and professionalism in handling confidential information.

Responsibilities:

  • Perform general administrative duties such as filing, scanning, data entry, and document preparation.
  • Maintain and update employee records, both digital and physical, in compliance with company policies and legal regulations.
  • Assist in scheduling interviews, coordinating meetings, and communicating with job candidates.
  • Support new hire onboarding processes, including preparing welcome materials and scheduling orientation sessions.
  • Track employee attendance including hourly points system, leave requests (FMLA, ADA, STD or other) and coordinate collection of this information from manager/supervisors on a daily basis.
  • Assist in benefit open enrollment including gathering necessary forms and information as well as assisting employees in the enrollment process.
  • Help organize employee engagement initiatives, events, and training sessions.
  • Respond to daily employee HR-related inquiries or requests and provide assistance as needed.
  • Support payroll preparation by collecting necessary documentation, updating records and verifying time records.
  • Ensure confidentiality and security of employee information and sensitive HR data.
  • Assist with maintaining HR systems (e.g., HRIS), updating employee information as required.
  • Assist in coordinating the off boarding process.
  • Monthly benefits reconciliation
  • Payroll backup
