Billing Specialist

Location: Daly City, CA or Irvine, CA |

Salary: $72,500 to $91,000/year

This full-time position provides accounting support across company operations and reports to the Senior Accountant. You'll serve as a key point of contact for Project Managers throughout the full project lifecycle — from contract award through final closeout.

• Build strong working relationships with Project Managers and serve as a trusted resource on all billing matters
• Set up and maintain projects in Deltek Ajera in accordance with contract requirements; read and interpret contracts for accounting and invoicing implications
• Generate 125–175 invoices per month and prepare monthly billing reports for Project Managers
• Review labor and expense postings for accuracy; process transfers as needed
• Submit complete, accurate invoice packages to clients on time, including all required backup documentation
• Follow up with clients on invoice receipt and payment status; partner with Project Managers to resolve collection issues
• Monitor project Work-in-Progress (WIP) and collaborate with Project Managers to address aging WIP
• Respond promptly and professionally to internal and external inquiries; investigate issues and communicate resolutions clearly

• Bachelor's degree in Accounting and/or Finance

• Minimum 2 years of billing experience in a consulting environment
• Proficiency in Microsoft Office Suite (Outlook, Teams, Excel with pivot tables, Word, PowerPoint)
• Experience with Deltek Ajera or Deltek Vantagepoint is a plus

• Strong communicator — both written and verbal
• Detail-oriented with excellent follow-through
• Self-starter who can prioritize, multitask, and work both independently and collaboratively
• Positive attitude with a genuine desire to grow professionally

• Fast-paced setting with high-volume workload and frequent deadlines
• Must be able to work 10-hour days and remain in a stationary position for extended periods
• Ability to lift up to 25 lbs.
• Occasional travel 1–2 times per year, potentially overnight
