Position Overview

The Registrar reports directly to the Patient Access/Admitting Supervisor at AHMC Seton Medical Center and Seton Coastside. The role coordinates and completes all phases of Admitting Registration including Emergency and ED admissions and Outpatient registrations. Responsibilities include collecting accurate demographic and billing data, verifying insurance information to ensure clean claims, collecting copays and deductibles, acting as a liaison between clinical staff and the Admitting department, and ensuring compliance with state and federal regulations.

Specific Duties
  • Collect accurate, complete demographic and billing data at the time of registration, achieving a minimum of 98% accuracy. Complete registrations timely and understand all forms used daily, such as COA, advanced directives, patient rights, HIPAA, Notice of Privacy Practices, Medicare Important Message (IM), Medicare Outpatient Observation Notice (MOON), and non‑Medicare Observation Notice (OON).
  • Demonstrate effective communication skills—verbal and written—ensuring legible, concise, and clear information for patients and staff.
  • Understand EMTALA law and insurance plans (HMO, PPO, commercial, managed care, Medi‑Cal, Medicare, Workman's Compensation), and obtain necessary authorizations.
  • Determine insurance requirements for outpatient services, answer basic billing questions or refer to a financial advisor when needed, troubleshoot insurance issues, contact insurers for benefit and eligibility information, document benefit data, and communicate with clinical staff.
  • Follow written and verbal instructions consistently.
  • Work collaboratively with staff, answer phones professionally, promote excellent customer relations, and participate in problem‑solving to meet revenue targets and customer satisfaction.
  • Perform other related duties as required.
  • Keep forms and supplies stocked and reorder when necessary.
