SENAAT is seeking highly organized and Executive Secretaries / Administrative Support Specialists to provide administrative, coordination, and executive support across various business functions and departments.
Position SummaryThe role is responsible for providing efficient administrative and secretarial support, managing schedules and correspondence, coordinating meetings, maintaining records, and ensuring effective communication and follow-up across assigned departments.
Supporting C-level executives, department directors, or senior management within Engineering, Human Resources, Information Technology, Internal Audit, or similar corporate functions.
This role provides exposure to senior management and cross-functional business operations, offering opportunities for professional growth and development.
Key Responsibilities- Manage calendars, appointments, meetings, and travel arrangements as required.
- Prepare correspondence, reports, presentations, and administrative documentation with a high level of accuracy and professionalism.
- Coordinate meetings, prepare agendas, record meeting minutes, and follow up on agreed actions and decisions.
- Maintain and organize records, files, and documentation, ensuring proper filing and easy retrieval when needed.
- Coordinate with various departments and follow up on administrative requests and transactions to ensure timely completion.
- Prepare executive reports and presentations for senior management.
- Monitor meeting resolutions and action plans, and coordinate with relevant stakeholders to ensure effective execution and achievement of objectives.
- Support and coordinate executive management meetings, board meetings, and committee meetings while maintaining the highest standards of professionalism and confidentiality.
- Support corporate events, activities, and official visits, and coordinate with relevant parties as required.
- Maintain strict confidentiality and demonstrate professionalism in dealing with internal and external stakeholders.
- Perform any other duties related to the nature of the role as assigned by management.
- Bachelor's degree in Business Administration, Office Management, Executive Secretarial Studies, or a related field.
- Minimum 3-5 years of experience in executive secretarial, administrative support, or executive assistance roles.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Excellent verbal and written communication skills in both Arabic and English.
- Strong organizational, coordination, time-management, and prioritization skills.
- Excellent communication, follow-up, and multitasking skills, with the ability to work effectively in a fast-paced environment.
- Previous experience supporting C-level executives, senior management, or department directors is preferred.
- Experience in corporate environments or within the construction, industrial, engineering, or similar sectors is preferred.
- Experience or practical knowledge in Human Resources, Information Technology, Internal Audit, or related corporate functions is preferred.
- Familiarity with or hands-on experience in Enterprise Resource Planning (ERP) systems or Human Resources Information Systems (HRIS) is an advantage.
