Admin assistant provides administrative support in the areas of Reception, Purchase Of Services (POS), Progress Reports, and Assessments.

Receptionist job responsibilities

The receptionist will open the center and provide a welcoming tone to all who visit the center. Similarly, they will direct them as needed to the appropriate location. They will take and deliver detailed messages and also communicate with parents as needed. The receptionist will maintain an organized office environment by assuring all documents are filed, and office supplies are ordered and stocked as needed.

Ensure that the lobby and front office are clean and organized. You will maintain confidentiality of the organization and personnel‑related information, have general knowledge of all organizational projects, including their purposes/activities and be able to identify staff and on‑site volunteers with assigned projects.

The receptionist will keep the immediate supervisor well‑informed of activities, results of efforts, problems identified, potential problems, and recommend corrective actions to the immediate supervisor. They respect confidentiality in discussing clients, staff, volunteers, and organization matters. You maintain awareness of staff whereabouts and maintain accurate and complete sign‑in/sign‑out procedures for on‑site staff. Supervisors are notified within 30 minutes of daily start time, regarding staff absences/delays;

updates and informs other receptionist(s) of the same related information. Assist with clinical timesheet corrections and submissions. Inform clients/staff/ volunteers of parking regulations, and when on duty, ensure the reception is staffed 100% of the time. Prepare and process 100% of outgoing mail. Ensure kitchen appliances and bathrooms are kept neat, clean, and stocked with appropriate supplies. As needed, inform supervisors in advance as to supplies needed and if office/kitchen appliances are not functioning properly.

You will ensure that common areas are equipped with office supplies as needed. Perform data entry and type correspondence, reports, and forms for staff as directed. As needed, performs other tasks necessary for the operation and presentation of a professional office and reception area.

Personal Skills and Knowledge

Strong preference for candidates with analytical abilities and problem‑solving to research and determine appropriate action. You have strong administrative and leadership skills and some familiarity with funding provider standards and procedures. An ideal candidate will be self‑motivated, responsible, honest, articulate, have excellent time management skills, and have the skills to work independently with minimal supervision. You have a professional demeanor, are well‑organized, and pay attention to detail.

The candidate can maintain professional boundaries, professional composure, work well under pressure, and politely interact with individuals and families who may be uncooperative or aloof. You also demonstrate effective communication skills to interact with clients, family members, and agency staff.
