Human Resources Generalist
Full-time position, – 37.5 hours per week
Who are we?People need support today. Knowing this, Feed Nova Scotia collects and distributes millions of pounds of food annually to hundreds of food banks and programs across the province. It also supports community partners as they build capacity to serve their communities. What is a Human Resources Generalist?Human Resources Generalist exists to strengthen organizational capacity and cultivate inclusive, supportive workplace culture across the organization. By providing operational support and embedding JEDDI principles into daily practices, this role ensures staff and volunteers experience fair, reliable and equitable HR services. Ultimately the position enables teams to focus on advancing our mission of addressing food insecurity.
What does a Human Resources Generalist do?- Provides administrative assistance during full-cycle recruitment, including posting job opportunities, scheduling candidate interviews, and organizing applicant files.
- Prepares onboarding packages, formats documentation, and coordinates initial orientation logistics for incoming staff.
- Maintains up-to-date physical and digital HR records, ensuring standardized documentation across all employee files.
- Assists in tracking candidates through the recruitment pipeline from requisition to hire date using standardized templates and tools.
- Serves as a first point of contact for routine employee inquiries regarding HR forms, systems, and general administrative processes.
- Supports the administration of Human Resources Information Systems (HRIS), assisting with data entry, routine system updates, and user access management.
- Supports with coordinating training sessions, logistical coordination of employee committee meetings, registration for organizational learning opportunities and internal calendars.
- Processes and reconciles biweekly payroll and benefits administration including the reconciliation of monthly benefits program including employee health and dental benefits program, EAP, and RRSP program.
- Coordinates administrative aspects of health benefits, EAP resource distribution, and staff policy acknowledgments.
- Coordinates scheduling and logistics for team-wide surveys, lunch & learn sessions, and staff engagement events.
- Assists in gathering and inputting HR data to support the creation of team dashboards and equity metrics.
- Maintains strict confidentiality while organizing organizational data related to demographics, training completion, and general HR records.
- Ensures administrative processes comply with privacy standards, employment legislation, and internal documentation guidelines.
- Assists with general HR department correspondence, routine document preparation, and cross-departmental coordination.
- Participates actively in building a welcoming, accessible HR presence across organizational sites.
- Supports volunteer recruitment activities.
- Maintains accurate and up-to-date volunteer records.
- Provides administrative support for volunteer scheduling and coordination.
- Assists with the planning and implementation of volunteer recognition and engagement.
- Assists with volunteer-related reports, records, and documentation.
- Supports the coordination of volunteer communications.
- Coordinates administrative overlaps between staff and volunteer onboarding records as needed.
- Helps distribute and organize feedback forms from volunteer programs and community stakeholders.
- Post-secondary diploma or degree in Human Resources, Business Administration, Office Administration, or a related field.
- Payroll certification like PCP is an asset.
- Training or coursework related to justice, equity, diversity, decolonization, and inclusion (JEDDI) is an asset.
- Minimum 3-5 years of experience in an administrative support or HR coordination role.
- Hands-on experience with administrative tasks related to recruitment, onboarding, or general office operations.
