Overview
The maintenance planner is responsible for planning maintenance PM and WO activities. They will provide administrative support to the Sr. Facility Engineering Manager by managing the overall preventative maintenance program, work orders, special projects and general departmental activities. The Sr. Facility Engineering Manager is the primary coach and trainer of the maintenance planner. S/he is the co-driver of continuous improvement in all areas of the maintenance department.
Responsibilities- Plan, schedule, and coordinate all maintenance activities (Preventive Maintenance - PMs and Work Orders - WOs) through the CMMS, monitoring due dates and production needs to meet uptime goals.
- Generate and close WOs and PMs; review completed work for proper documentation and verify resolution on a timely basis.
- Act as the CMMS system administrator (e.g., SAP, CMMS) ensuring work and parts information remains accurate and up to date.
- Collaborate with production scheduling, maintenance supervisors, and operations to secure equipment availability for planned maintenance work.
- Formalize and optimize the PM program, including defining tasks, frequency, time budgets, and required materials, and continually reviewing for accuracy.
- Report WO/PM status periodically to operations and maintenance teams and assist in reporting physical inventory results to management.
- Provide administrative support to the Plant Engineering Manager and Maintenance Supervisor and assist in special projects as required.
- Maintain accurate inventory records of quantity, type, and value of all machine parts, chemicals, equipment, and supplies for Maintenance, Operations, Sanitation, and Safety.
- Manage the full inventory lifecycle: receive materials, accurately label and stock items in the proper location, pick material, and dispense parts/equipment to maintenance employees and users upon request.
- Perform physical, cycle, and free-issue transaction counts of materials and supplies, researching and resolving inventory discrepancies to ensure accurate physical inventory control.
- Establish spare parts needs for both planned (PM/WO) and critical inventory lists.
- Issue purchase and work orders to generate product shipments; maintain status of orders throughout the entire process.
- Resolve issues involving short shipments, damaged goods, returns, and track shipments when necessary.
- Communicate with the Accounting Department regarding billing questions or disputes and oversee the processing and routing of invoices.
- Obtain Material Safety Data Sheets (MSDS) and USDA-approval documents for chemicals and prepare labels for chemical containers.
- Maintain stockroom organization for each shift and manage the back-order system.
- Experience:
Five years of experience in a similar combined role preferred; food/manufacturing experience is a plus. - Technical
Skills:
Strong computer skills are required, including proficiency with Microsoft Office (Outlook, Word, Excel), and in-depth experience with a CMMS/EAM system (e.g., SAP, MP2, L2L) is highly preferred. - Organizational
Skills:
Strong organizational skills, acute attention to detail, and the ability to manage multiple priorities and workflow in a fast‑paced environment. - Communication:

Work is typically performed in an office/plant environment with a moderate noise level. The plant environment has fluctuating temperatures based on location. The role requires performing physical cycle counts, dispensing materials, and may require standing or walking within the plant or stockroom environment.
