Summary The Medical Center Representative is responsible for general clerical, receptionist, billing, referrals, patient registration and customer service for the operation of the business office in a medical center. Handles high volume sensitive medical, financial and personal information daily.
Nature & Scope Handles daily operations of the clerical components of the center. Accurately and efficiently processes arrival and exit of 20 or more patients per day. Under direct supervision of the Practice Manager. Leads front desk operations, supervises staff, ensures exceptional customer service.
Key Responsibilities- Supervising and mentoring a team of front desk staff, ensuring they provide excellent customer service and adhere to established procedures.
- Managing daily front desk activities: answering phones, managing mail, scheduling appointments, delegating tasks, handling visitor inquiries.
- Providing a positive and professional first impression for all visitors and patients, addressing inquiries and resolving issues promptly and effectively.
- Maintaining accurate and up-to-date records, databases, and files, including confidential information/HIPAA.
- Collaborating with other departments to optimize administrative processes and improve efficiency.
- Implementing and enforcing office policies and procedures, acting as a back-up to the Practice Manager when they are not in the office.
- Assisting in staff meetings and crucial conversations under the direction of the Practice Manager.
- High School diploma or GED, required.
- Two to three years of experience in an ambulatory health care facility sought.
- Strong knowledge of medical terminology and thorough understanding of HIPAA law; confidentiality is of utmost importance.
- Knowledgeable of third-party payers, ICD-10 and CPT coding is a plus.
- Computer and keyboarding skills required; experience with electronic medical records is an advantage, EPIC preferred.
- Ability to prioritize and perform multiple tasks in a fast-paced environment essential.
- Ability to work well with multiple teams and in multiple settings.
