Captain Jay’s is hiring a Full-Time Administrative Assistant to provide direct support to senior leadership. This in-office position is ideal for an experienced administrative professional who excels in office management, scheduling, communication, and executive support in a fast-paced business environment.
Essential Duties & Responsibilities- Provide daily executive assistant support including calendar management, scheduling, and correspondence.
- Manage phone calls, emails, and administrative communication with internal teams and external partners.
- Coordinate meetings, prepare agendas, document notes, and track follow-up action items.
- Arrange business travel, accommodations, and itineraries.
- Assist with administrative projects, data collection, reports, and presentations.
- Perform office management tasks including ordering supplies, organizing files, and maintaining records.
- Handle confidential and sensitive information with professionalism and discretion.
- Previous experience as an administrative assistant, executive assistant, office coordinator, or office administrator.
- Strong working knowledge of Microsoft Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Proven ability to multitask, prioritize tasks, and meet deadlines.
- High attention to detail with strong organizational and time-management skills.
- Comfortable working in a fast-paced office environment.
- Quick Books experience is a plus but not required.
