Executive Assistant to the CEO

Metropoltian Behavioral Health (a UHS Facility) is a growing 144‑bed behavioral health hospital that provides a full continuum of inpatient services across the entire patient population. The facility offers specialty programs for adolescents, adults and older adults, and performs behavioral health assessments 24 hours a day. Programs for co‑occurring behavioral health and substance use issues are also available, and the robust outpatient program utilizes a combination of group, family and individual therapy.

Position

Summary

The full‑time Executive Assistant to the CEO offers administrative support to the CEO and other departments within the hospital. Duties include completing general office tasks, transcribing meeting minutes for the Medical Executive Committee, Governing Board, Department Directors/Managers and other meetings, organizing and preparing agendas and informational packets, maintaining meeting minutes and related attachments, updating administrative and leadership policies and procedures, maintaining an organized filing system for hospital contracts and tracking contract renewal dates, and managing physician and clinical contract provider credentialing.

The position also maintains the ECM/CAR log and ensures compliance with Joint Commission and other regulatory agency standards.

Responsibilities
  • Complete general office duties and related work assistance to the Administrative Department as instructed by the CEO.
  • Takes and transcribes meeting minutes for the Medical Executive Committee, Governing Board, Department Director/Managers and other meetings as requested.
  • Organizes and prepares agendas and informational packets for members of the aforementioned meetings.
  • Maintains meeting minutes and attachments in an organized manner.
  • Types and updates administrative and leadership policies and procedures.
  • Maintains an organized filing system of hospital contracts and tracks contract renewal dates, acquiring other documentation for contract files to meet Joint Commission and regulatory agency standards.
  • Maintains the ECM/CAR log.
  • Manages physician and clinical contract provider credentialing.

Qualifications
  • Education: High School diploma or equivalent required or Associate’s degree in office management or similar field preferred.
  • Experience: Minimum of 3 to 5 years of executive assistant and broad administrative assistant experience, preferably in a hospital setting. Word processing and computer skills required.
  • Knowledge: Overall knowledge of general office systems and excellent organizational skills are essential. Word processing skills are required. Language and communication skills with hospital staff, physicians, community members, referral sources and others are essential. Must be able to manage multiple tasks.
